Before you begin

  • You must have administrative access to the Rota section to create rotations.
  • Ensure you have the necessary shifts and team details ready to be assigned to the rotation.

Step 1. Add a new rotation

  1. Navigate to Admin > Rota and select the Rotation tab.
  2. Click on the Add Rotation button to open the rotation creation form.
  3. In the Add Rotation form, you can define:
    • Name: Enter a name for the rotation (e.g., "Rotation 1").
    • Description: Provide a brief description of the rotation (e.g., "Team rotation for weekly shifts").
    • Number of shifts in rotation: You will be asked to enter the number of shifts. Ensure the value is between 2 and 4 (e.g., 3). If you enter a value outside this range, an error message will appear (e.g., Please enter a number between 2 and 4).

Step 2. Set the rotation pattern and shift details

  1. In the Rotation Pattern section, you can choose how the shifts will rotate:
    • Employees rotate shift alternatively between: Select the shifts that will rotate in an alternating pattern (e.g., Shift 1 and Shift 2).
    • Employees rotate shift in uneven cycles: This option allows you to select shifts that will rotate in uneven cycles (e.g., Shift 1, Shift 1, Shift 2).
  2. Define the Shift Duration (e.g., 1 week) and set how long the rotation will last.

Step 3. Team assignment and cycle start date

  1. Team Assignment: You can assign teams to each shift by selecting the teams in the Teams dropdown. Each shift will have its own assigned team.
  2. You will see the rotation details for each Week (e.g., Week 1, Week 2, etc.). For each week, assign the shifts to the teams:
    • Week 1: Assign Shift 1 to Plumm Team, Shift 2 to Indian Team, etc.
    • Week 2: You can modify the team assignments as needed (e.g., Shift 1 to Indian Team, Shift 2 to Foreign Team).
  3. Set the Cycle Start Date for the rotation (e.g., 25/03/2025). The cycle start date will mark the beginning of the rotation cycle.

Step 4. Save as draft or publish

  1. After filling in all details, you can either:
    • Click Save as Draft to save the rotation without publishing it. You can modify the draft later.
    • Click Save and Publish to finalize and publish the rotation. Once published, the rotation cannot be edited. Any changes to the rotation will require creating a new rotation.

1. Can I save the rotation without publishing it?

 Yes, you can save the rotation as a draft using the Save as Draft button. This allows you to make changes later before publishing it.
 

2.What happens after the rotation is published?

 Once the rotation is published, it cannot be edited. To modify the rotation pattern or assignments, you will need to create a new rotation.

3.How can I assign multiple teams to different shifts?

 You can assign each shift to a different team by selecting the team from the Teams dropdown under each shift. Each week will allow you to modify the team assignments.
 

  

4. What is the difference between alternating shifts and uneven cycles in the rotation pattern?

  • Alternating shifts: Employees will switch between shifts in a regular, alternating pattern (e.g., Shift 1, Shift 2).
  • Uneven cycles: Employees will rotate between shifts in an uneven pattern (e.g., Shift 1, Shift 1, Shift 2).
 

 

5.How can I change the rotation after it's published?

 Once published, the rotation cannot be changed. You will need to create a new rotation if you need to update it.
