Cycle Adjustment

Summary

 Super Admins and System Admins can now adjust the leave cycle for any time off request. This includes modifying how leave days are distributed across current and next cycles.

Before you begin

Only users with the following roles can access this feature:
  • Super Admin
  • System Admin (Plumm)
Cycle adjustments are available under each Team / User's Profile , time-off record’s action menu (three dots).

Step 1. Access Time Off Cycle Adjustment

  1. Go to Team Profile/User Profile > Time Off Records
  2. Click the three-dot icon next to a time-off request
  3. Select Cycle Adjustment

A side panel will appear with leave information and editable fields.


Step 2. Modify leave cycle durations

  1. Review the leave detail shown at the top of the side panel
  2. Enter values in:
    • Current Cycle Duration (leave days falling within the current cycle)
    • Next Cycle Duration (leave days falling in the next cycle)
  3. Follow these rules:
    • Leave split across cycles must be distributed proportionately
    • The total of both durations must equal the actual days taken
    • If split incorrectly, a validation error will appear

Step 3. Acknowledge impact and apply changes

  1. Read the warning message in amber:
  2. This update will affect your leave balance calculation.
  3. Tick the checkbox to acknowledge this impact
    • If the checkbox is not ticked, the Apply button will be disabled
    • Hovering over the disabled button will show:
    • “You must acknowledge that the update will affect your leave balance calculation”
  4. Click Apply to save changes
All changes are automatically logged in the Activity Log for tracking.

Frequently Asked Questions (FAQ)

1. Who can use the Cycle Adjustment feature?

Only Super Admins and System Admins (Plumm) can access this option from the time-off request menu.


2 . What if I don’t split the leave correctly across cycles?

You will see a validation error. Make sure the total adjusted days match the actual time taken, and split them across the right cycles.


 

3. Where can I see the record of these adjustments?

All updates are recorded in the Activity Log, including the date, user, and change details.


4. Why is the Apply button greyed out?

You must check the warning box acknowledging the impact on leave balance before applying the changes.
