Admin – Add Project (Project Management Module)

Summary

Admins can create new projects within the Project Management Module by filling out a detailed form. The process consists of two steps: entering project details and providing estimated project costs or hours. Once the project is added, it appears in the project grid where it can be edited, deleted, or viewed.

Before you begin

  • You must be logged in with admin permissions to add a new project.
  • Ensure that you have the necessary project details, such as client information, project manager, and estimated cost or hours.

Step 1.Add Project Details

  1. Log in to your Plumm account.
  2. Navigate to the Project Management page from the dashboard.
  3. Under the "Projects" tab, click on the "Add Project" button.
  4. The Add Project form will appear in a sidebar. In Step 1: Details, fill out the following fields:
    • Name: Enter the name of the project (e.g., "Website Redesign").
    • Client: Select the client from the list of existing clients.
    • Start Date: Specify the start date of the project.
    • End Date: Specify the end date of the project.
    • Apply To:
      • All Employees: Select this if you want the project to be assigned to all employees.
      • Select by Name: Select this if you want to manually assign users. A dropdown will appear, allowing you to choose specific users.
    • Manager: Assign a project manager for the project.
    • Billable:
      • ON: If the project is billable, toggle the Billable button to ON.
      • OFF: If the project is non-billable, toggle the Billable button to OFF.

Step 2. Set Project Estimate

  1. In Step 2: Estimate, fill in the following fields:
    • Type: Choose whether the project estimate is based on cost or hours.
    • Cost: If you selected Cost for the type, define the total estimated cost of the project (e.g., $5,000).
    • Currency: Select the currency for the project (e.g., USD, EUR).
    • Notify At: Set a percentage (e.g., 40%) to trigger an email notification when the estimate is approaching the limit.
    • Reset: Choose the project reset frequency:
      • Never: The estimate will not reset.
      • Monthly: The estimate will reset on a monthly basis.
  2. After filling out all necessary details, click Submit to create the project.

Step 3. Grid Actions for Projects

  1. Once the project is created, it will appear in the Project Grid with the following available actions:
    1. Edit: Click the Edit option to modify project details.
    2. Delete: Click the Delete option to remove the project from the system.
    3. View: Click the View option to see detailed information about the project.

Frequently Asked Questions (FAQ)

1.Can I assign a project to specific employees?

Yes, by selecting "Select by Name" in the Apply To section, you can manually choose which users to assign to the project.
 

2. How do I set the project as billable or non-billable?

 The Billable toggle in Step 1: Details allows you to set the project as either billable (ON) or non-billable (OFF).


3.What happens if I choose "Reset Monthly" for the estimate?

 If you choose Monthly, the project’s cost or hour estimate will reset at the beginning of each month, allowing you to track new estimates for each period.
 

 

4.Can I edit a project after it’s been added?

 Yes, you can click on the Edit button in the Project Grid to update the project details as needed.

5.What is the "Notify At" field used for?

The Notify At field allows you to set a threshold percentage for an email notification to alert you when the project’s estimate is nearing its limit.

6.Can I delete a project after it’s been created?

Yes, you can delete a project by clicking on the Delete button in the Project Grid.
