Before you begin
- You must have administrative access to the Audit section to view email-related audit logs.
- The Email tab displays email events related to modules like Rota and others.
Step 1.View email audit logs
- Navigate to Admin > Audit and select the Email tab.
- In the Audit section, you will see the following columns:
- Module: The module that triggered the email (e.g., Rota, Time off, Attendance etc.)
- Subject: The subject of the email (e.g., "New shift has been assigned", "Shift has been updated").
- Last Event Received: The date and time when the last event related to the email occurred.
- Open: The number of times the email was opened.
- Click: The number of times links within the email were clicked.
- Status: The status of the email (e.g., Delivered, Open, Bounce).
- To filter the data, you can use the filter at the top-right corner to display data for the last 1, 2, or 3 months.
Step 2.Use search and filter functionality
- Search: You can use the search bar to search for specific emails or recipients by entering keywords or email addresses.
- Filter: Use the filter options to narrow down the email logs based on specific conditions, such as the status (e.g., delivered, bounced), or by module.
Step 3.View detailed email information
- To access detailed information for a specific email, click on any record in the Audit list.
- A detailed Email Information panel will appear on the right side of the screen. This will include:
- Details: Information such as the sender, recipient, and subject of the email.
- Event History: A history of the email events for that specific email, including statuses such as Processed, Delivered, or Bounce, along with timestamps and reasons.
Step 4.Download email audit logs
- To download the email audit logs, click on the download icon in the upper-right section of the screen.
- The logs will be downloaded, typically in Excel format, allowing you to analyze the data offline.

1.What does the "Bounce" status mean?
A Bounce status indicates that the email could not be delivered to the recipient’s inbox due to issues such as incorrect email addresses or full inboxes.
2 .What does "Delivered" mean in the status column?
Delivered means that the email was successfully sent and received by the recipient's email server, even if it wasn't opened or clicked.
3.Can I filter the data for more than the last three months?
Currently, the filter only allows you to view data for the last 1, 2, or 3 months.

Click on the download icon in the upper-right section of the screen to download the email audit logs.
5.What does the "Open" and "Click" columns represent?
- Open shows the number of times the recipient opened the email.
- Click shows how many times a link in the email was clicked.
