Candidate Pool Actions
Summary
The Candidate Pool module in the Hire section of PlumHR allows authorised users to manage candidate records. Users can view, search, filter, download, edit, or delete candidate profiles, but these actions are restricted to those with the appropriate permissions.

Before you begin
To perform these actions in the Candidate Pool within the Hire module, you must have the right permissions. The permissions allow access to the Hire module and enable actions like viewing, editing, and deleting candidate profiles. If you cannot access this module, please reach out to your system administrator or HR team for assistance.
Step 1. View candidate details
- Go to Hire > Candidate Pool
- Click on any row to view a candidate’s details
- If the candidate has applied to multiple jobs, select the job you wish to review
- Review application data, contact info, and job-specific records
Step 2.Search candidates
- Use the Search bar at the top of the table
- Enter the candidate's name, email address, or tags
- Results will update instantly based on your input
Step 3. Filter by stage, source, job, or location
- Use the filters on the left panel:
- Stage (e.g. Interview, Rejected)
- Source (e.g. Referral, Careers page)
- Job
- Location
- Click the checkbox or dropdown to narrow your results
- The table will refresh with filtered candidates
Step 4.Search candidates
- Click the Download icon (⤓) above the candidate list
- An Excel file will download containing all visible candidate data
- Filters applied will reflect in the exported file
Step 5.Search candidates
- Click the three dots (⋮) at the right end of a candidate row
- Select Edit
- Update the candidate’s information as needed
- Click Save to apply changes
Step 6.Delete a candidate
- Click the three dots (⋮) next to the candidate you want to remove
- Select Delete
- Confirm the action in the pop-up window
- The candidate will be permanently deleted from the system
Frequently Asked Questions (FAQ)
1.Can I edit a candidate who applied for multiple jobs?
Yes. Click on their row to view job-specific details, then click the three-dot menu to edit their profile.
2 . Can I recover a deleted candidate?
3. Does the export include private notes or evaluations?
No. The Excel export includes standard data like contact details, job titles, and stages—confidential notes remain in-app only.
4. Why can’t I see the ‘Edit’ or ‘Delete’ buttons?
These actions are only available to users with appropriate permissions within the Hire module. If you cannot see these options, your role may not have the required permissions. Contact your system administrator for assistance.
5. Will all candidate data be included in the download?
Only the data currently visible on-screen (based on filters) will be included in the downloaded file.
