Manage Shift Change Requests

Summary

Plumm allows employees to view, edit, delete, and track previously submitted shift change requests. You can monitor approval status, view notes, and access the full activity history directly from the My Request tab in the Rota section.

Before you begin

To manage shift change requests, you must:
  • Have access to the Rota > My Request tab
  • Be logged into your Plumm account
  • Have submitted at least one shift change request

Step 1. View your submitted requests

  1. Click on the 9-dot menu at the top-left corner of your dashboard.
  2. Select Rota from the menu.
  3. Under the Rota section, click on Rota > My Request.
  4. View your past and current shift change requests in a table format
    • Shift Name
    • From Date / To Date
    • Request Date
    • Notes
    • Status (e.g. Approved, Pending, Declined, Cancelled)
You can use the search bar to find specific requests or click the download icon to export the list.

    Step 2. Edit a request

    1. Click the three-dot menu (⋮) next to a request
    2. Select Edit
    3. In the Edit Shift Request form:
      • Update From Date or To Date
      • Select a different New Shift from the dropdown
      • Modify the Note
      • Update the Notify field to inform another manager or teammate
    4. Click Submit to save your changes

    Step 3. Delete a request

    1. Click the three-dot menu (⋮) next to a request
    2. Select Delete
    3. A confirmation box will appear
    4. Click Confirm to permanently delete the request

    Note: This action cannot be undone.


    Step 4. View the activity log

    The Activity Log allows you to track the full history of a shift change request, including status updates and timestamps.
    1. Click the three-dot menu (⋮) next to the request.
    2. Select Activity Log.
    3. A side panel will open displaying:
      • Shift details
      • Request date and time
      • Notes added
      • Current status (e.g. Pending approval)
      • Timeline of actions taken (e.g. submitted, approved, declined, cancelled)

      Frequently Asked Questions (FAQ)

      1. Can I edit a request that is already approved or declined?

      No. Only requests with a Pending status can be edited.

      2 . What happens after I cancel a request?

      The request status will change to Cancelled and it will remain visible in your list for record purposes.


       

      3. What information does the Activity Log show?

      The Activity Log shows the complete timeline of the request, including submission time, approval status, and any updates made.


      4. Will I receive a notification after editing or cancelling a request?

      Yes, you will receive a notification after editing or cancelling a request.
