Manage Team Shift Change Requests

Summary

 The Team Request tab lets managers and admins review all submitted shift change requests from their team. You can filter, search, approve, or decline requests individually using built-in tools — all based on your permissions.

Before you begin

This feature is available only to users with Team Rota > Team Request permission.
You must:
  • Be an Admin or Manager with shift approval rights
  • Use the Plumm desktop platform (Team Request not accessible on mobile)

Step 1. Open and search the Team Request tab

  1. Go to Rota > Team Request
  2. Use the Search bar at the top left to filter by employee name
  3. Click the Download icon beside the search bar to export the list of shift requests
The table includes the following columns:
  • Request By – The name and profile image of the employee who made the request
  • Department – The department of the requesting employee
  • Location – The registered work location (e.g. Pune - India, Maharashtra - India)
  • Shift Name – The name of the requested shift (e.g. Policy 1, WeekOff, Half Hour)
  • From Date – The first date the shift applies to
  • To Date – The last date the shift applies to
  • Request Date – The date the request was submitted
  • Note – A note added by the employee during request submission
  • Status – Shows the current request status: Pending, Approved, or Declined


Step 2. Review request details

  1. Scroll through the paginated list of requests (pagination buttons appear at the bottom)
  2. Check the Note column for any context or reasoning provided by the employee
  3. Statuses update in real-time once action is taken
  4. To take action, click the three-dot icon at the end of a request row

Step 3.  Import shifts from a file

  1. Click the three-dot icon next to a pending request
  2. Select either:
    • Approve
    • Decline
  3. A confirmation popup will appear:
    • For Approve: Confirm with the "Approve Request" message
    • For Decline: Confirm with the "Decline Request" message
  4. Click Confirm to finalise the action, or Cancel to return
Note: Once confirmed, the action cannot be undone.

Frequently Asked Questions (FAQ)

1.Can I bulk approve multiple requests?

 No. Requests must be approved or declined individually.

2 . Can I undo an approval or rejection?

No. Once confirmed, status changes cannot be reversed. Contact your HR admin for manual adjustment.


 

3. What does the note column contain?

 This shows any comments entered by the employee during their request submission.


4. Can I filter by department or location?

Currently, only name-based search is available via the top search bar.

5. Where do approved shifts appear?

Approved requests will reflect in the employee’s My Rota view once processed.
