Summary

The Team Request tab in the Team Attendance section enables managers and admins to manage attendance requests. This includes approving or declining requests, and reviewing the status and activity logs of each request. The system allows for efficient tracking and decision-making with clear visibility for both managers and employees.

Before you begin

 To manage Team Requests, you need to have access to the Team Attendance module in your dashboard.

  • Super Admin: Can view all requests across the organization by default.
  • Admin: Can see all user requests across the organization.
  • Manager: Can only see requests made by employees who report directly to them.

Step 1: Approve/Decline Pending Requests

  1. Navigate to Team Attendance > Team Request Tab.
  2. Review requests marked with "Pending" status.
  3. Approve Request: If you agree with the request, click "Approve."
  4. Decline Request: If the request should be rejected, click "Decline." You cannot approve or decline requests that have already been approved or declined.
Field Names in the Image:
  • Requested By: The person requesting the attendance adjustment (e.g., Abdul Sami Abdul Wahab).
  • Department: The department the user belongs to (e.g., Finance, Administration).
  • Location: The location where the employee is situated (e.g., Maharashtra - India).
  • Attendance Date: The date the request is referring to (e.g., 07 Jan 2026).
  • Request Type: Type of the attendance request (e.g., Attendance Regularisation, Attendance Adjustment).
  • Request Date: The date the request was submitted (e.g., 01 Jan 2026).
  • Notes: Additional notes attached to the request (e.g., test).
  • Reason: The reason behind the request (e.g., Sami, Test mobile).
  • Status: Displays the current approval status (e.g., Approved, Pending, Declined, Cancelled).

Step 2: Activity Log for Requests

  1. Admins or managers can click on "Activity Log" for a specific request to view or manage the request details.
    • Add Comments: Admins or managers can add comments to the request for further clarification or action.
    • Edit/Delete Comments: Admins or managers can edit or delete comments if needed.
    • Visibility: If a manager comments on a request, the user can view the comment. Similarly, if a user comments on the request, the manager can view and reply to the comment.

Step 3:Declining a Request

If you decide to decline a request, follow these steps:
  1. Click on "Decline" next to the pending request.
  2. A Decline Request popup will appear.
  3. Enter the reason for the decline in the provided text box (e.g., "Not valid reason").
  4. Click Submit after entering the decline reason.
  5. You can also cancel the decline action if needed.
Statuses:
  • Approved: When the request is accepted and approved by the manager/admin.
  • Pending: When the request is waiting for approval.
  • Declined: When the request is rejected by the manager/admin.
  • Cancelled: When the request is withdrawn by the requester or admin.


Frequently Asked Questions (FAQ)

1. Who can approve or decline requests?

Only Admins, Managers, and Super Admins can approve or decline requests. Managers can only approve/decline requests from employees who report directly to them.

2 . What happens if the request is already approved or declined?

Requests that are already in Approved or Declined status cannot be approved or declined again.


 

3. Can I add comments on declined requests?

Yes, comments can be added, edited, or deleted in the Activity Log for any request, including declined ones.


 

4. What if I need to cancel a pending request?

You can cancel a pending request before making a decision to approve or decline it.
