Onboarding a Candidate in the Hire Module

Before you begin

Required Role: You must have access to the Jobs section and permission to onboard candidates in the Hire module.
If you do not have the necessary permissions, please contact your Admin to request access.


Step 1. Select the candidate

  1. Navigate to Hire > Jobs from the dashboard
  2. Locate the candidate you wish to onboard
  3. Click the three-dot menu (⋮) next to the candidate’s name
  4. Select Onboard from the dropdown menu
    • Alternatively, drag and drop the candidate to the Hired stage in the pipeline to begin the onboarding process

Step 2. Complete candidate details

  1. In the Onboard Candidate screen, enter the following information:
    • Basic Details
    • Job Information
    • Contract Specifications
    Once completed, click Next to continue.

Step 3. Assign relevant settings

  1. In the Assign tab, configure the candidate's onboarding settings:
    • Enable the Apply global settings toggle if your organisation uses default configurations (e.g. task schedules, time-off policies, handbooks)
    • Select or customise the following:
      • Time-off Policies
      • Task Schedule
      • Handbooks
      • Document Folders
    Click Next once assignments are complete.

Step 4. Send invitation

  1. In the Invitation tab, choose when to send the platform invitation to the candidate:
    • Send Now – Send the invitation immediately
    • Send On Start Date – Automatically sends the invitation on the candidate’s start date
    • Schedule – Set a specific date and time to send the invitation
    Click Confirm to finalise the process.

1.Who can onboard a candidate?

Only users with access to the Hire module and the appropriate permissions can onboard candidates.
 

2. Can I edit candidate details after onboarding?

 Yes, most details can be edited during onboarding. For updates after completion, please contact HR or your system administrator.


3.Do I need to assign a time-off policy for each candidate?

 While it's recommended, global policies may be applied automatically. You can choose or adjust these settings during onboarding.
 

 

4.What if I can’t find the candidate in the ‘Hired’ section?

 Ensure the candidate is added to the Hire pipeline. If they’re missing, double-check you're viewing the correct job and searching with the right criteria.
