Manage Rota Notifications

Summary

Manage Rota Notifications controls whether employees receive email alerts when a new shift is published for them or when an existing published shift is updated.

Use these settings in Admin Rota when you want staff to be informed of schedule changes by email. Shift gap rules and mandatory notes are configured on the same Settings screen. See the related article Rota Settings under Admin - Rota.

Before you begin

Rota must be on your organisation’s contract. Admin Rota is available only when the rota add-on is active.

You need access to Admin Rota.

Plumm shows the Rota item in Admin when you have:

  • The Rota Admin page permission.
  • SuperAdmin access.

These settings apply organisation-wide.

They affect employees who receive published shift assignments.

Changes save automatically when you toggle a checkbox.

There is no separate Save button.


Using Rota notification settings

Use Admin Rota Settings to turn shift email notifications on or off.

Notifications are sent when shifts are published, not when they are saved as draft on Team Rota.


Navigating to notification settings

Go to:

Admin > Rota > Settings

The page title is:

Admin Rota

Select the Settings tab.

In the left panel, select Notifications.

This section is selected by default.


Email notification options

Send email notification for adding new shift

When enabled, employees receive an email when a new shift is published for them on Team Rota.

Send email notification for updating the existing shift

When enabled, employees receive an email when a published shift assigned to them is updated and republished.

Each option is a checkbox.

Toggle the checkbox on or off.

Plumm saves the change immediately.

Success toast:

Setting updated successfully.


Frequently Asked Questions (FAQ)

  • Who receives these emails?
    The employee assigned to the shift when it is published.
  • Are emails sent for draft shifts?
    No. Emails are sent only when shifts are published, not when saved as draft.
  • Do employees need to enable anything in their profile?
    No. When the admin setting is enabled, eligible employees receive emails when the company is live and they have a registered account.
  • Can I customise the email content?
    No. Emails use the standard Plumm format.
  • Are in-app notifications controlled here?
    No. These checkboxes control email notifications for new and updated published shifts. In-app alerts may still appear under your organisation’s broader notification settings.
  • Where do I set shift gap rules or mandatory notes?
    On the same Admin Rota Settings Notifications panel. See Rota Settings under Admin - Rota.
