Before you begin

  • Ensure you are logged into your Plumm account.
  • You must have access to the Message module.

Step 1Access the Message Module in the Hire Section

  1. Log in to your Plumm account.
  2. Navigate to the Hire section in the menu and click on the Messages.
  3. Once you have access to the Message Module, you will see a list of all active job openings and the candidates associated with each job.

Step 2:  View Active Jobs and Candidates

  1. Click on the job listing to see all candidates who have applied.
  2. You will see each candidate’s profile, where you can track communication history, including emails sent by you or your team.

Step 3:  Send Messages to Candidates

  1. Click on a candidate’s profile to open their communication thread.
  2. Here you can view all emails sent to and received from the candidate, including system-generated emails such as interview reminders, screening schedules, etc.
  3. To send a new message, click the New Message button.
  4. You can attach files, such as the job description, and use placeholders to personalise the message (e.g., Candidate’s name, job title).
  5. Once you’ve composed the message, click Send to send it to the candidate.

1. How do I access the Message Module?

 To access the Message Module, you need to have the required permissions within the Hire section. Navigate to the Hire seection, and you will see the Message Module with a list of active jobs and candidates.


2 . Can I view all the emails sent to a candidate in the Message Module?

Yes, once you open a candidate's profile, you will see all emails sent, including system-generated emails such as interview schedules, reminders, and any replies from the candidate.


 

3. Can I filter candidates in the Message Module?

Yes, you can filter candidates in the Message Module to sort and view specific emails or candidates. You can filter by unread messages, flagged emails, or messages with attachments.


4. How do I send an email to a candidate?

 Click on the New Message button after opening the candidate’s profile. You can compose the email, attach files, and add placeholders for a personalised message. After composing the email, click Send to send it.


5. What happens if I don’t have email integration set up?

 If email integration is not set up, you won’t be able to see the replies to your messages within the platform. Ensure you have integrated your email system (e.g., Outlook) to allow for seamless communication with candidates.


6. Can I see the email replies from candidates?

Yes, email replies from candidates will appear in the Message Module under the candidate’s profile, and in the integrated email inbox (if your email system is integrated with Plumm).


7. Can I modify or delete a message once sent?

Once an email is sent, it cannot be modified or deleted. If a correction is needed, you will have to send a follow-up email to the candidate.


8. Can I view messages for all candidates within a specific job?

Yes, you can view all candidate communications for a specific job within the Job section in the Message Module.


9. How can I personalise messages sent to candidates?

You can personalise messages by using placeholders in the email body. These placeholders (e.g., Candidate's Name, Job Title) will automatically fill in relevant details when the message is sent.
