Before you begin

  • You must have administrative access to the Rota section to add shifts.
  •  Ensure that you have the correct shift details, including the shift title, description, and working schedule.

Step 1. Add a shift in Rota

  1. Navigate to Admin > Rota and ensure the Shift tab is selected.
  2. Click on the Add Shift button to open the shift creation form.
  3. In the Add Shift form, you can enter the following details:
    • Title: Enter a name for the shift (e.g., "Policy 1", "Night Shift").
    • Description: Provide a brief description of the shift (e.g., "Night shift covering hours 8 PM - 6 AM").
    • Shift Colour: Choose a color for the shift to help differentiate it.
    • Working Schedule: Select the working schedule type (e.g., Fixed or Flexible).
    • Fixed: The shift times remain consistent every day of the week.
    • Flexible: The shift times can vary each day (e.g., different start/end times for different days).
    • Set Shift timings and Break duration for each day of the week (only available when flexible schedule is selected).
  4. After filling in the general details, click Next to move to the Settings section.

 


Step 2. Shift settings

  1. In the Settings tab, you can configure the following options:
    • An employee is allowed to raise shift request for number of days: Set the number of days an employee can raise a  shift request s in a week/month (e.g., 3 day in a week).
    • An employee is allowed to raise shift request for number of times: Set the number of times an employee can raise shift requests  in a week/month (e.g., 3 day in a week).
    • Employee can raise past dated shift request, but not beyond: Set the maximum duration for past-dated shift requests (e.g., 1 month).
    • Restrict past dated shift request to: Limit how far back an employee can request past shifts.
    • Restrict employees from raising shift requests on: Choose days when shift requests cannot be made, Only Weekly offs, Only Holidays or both.
    • Applying for shift request requires prior notice : Set up the number of days prior notice is required for raising shift request
    • Requires approval: If checked, the shift request will require approval before being processed.
  1. Once you have completed the settings, click Confirm to save the shift.

1. Can I assign a shift color?

The Export button will only be enabled after you select one or more users. Once users are selected, the button will become clickable, allowing you to export their data.
 

2.What does the "Requires approval" setting do?

When enabled, any shift request will require approval from a supervisor before being finalized.

3.Can I limit the days employees can raise shift requests for?

4.What happens if I select Flexible for the working schedule?

Yes, you can edit the shift description, title, working schedule, and other details anytime by selecting the shift and clicking Edit.
