Admin Assign a Time Off Policy to Employees

Summary

Assign To allows Admins to update which employees a saved time-off policy applies to.
You can assign a policy to all employees, select employees by condition, or choose specific employees by name.

Before you begin

You need:

  • Time off on Admin permission to access the Time Off tab in Settings.

Permission path:

Admin → Time off

The page details are:

  • Page title: Settings
  • Inner heading: Admin

Additional requirements:

  • The time-off policy must already exist.
  • The policy must be Active to use Assign To.

For inactive policies:

  • Assign To is disabled.
  • Sync User is disabled.

A deactivated policy cannot be assigned to employees.

Navigating to Assign To

  1. Log in to Plumm.
  2. In the sidebar, open Admin.
  3. Select Settings.
  4. Select the Time Off tab.
  5. Expand the Policy Type card.
  6. Open the three-dot menu () on the policy row.
  7. Select Assign To.

The heading is:

Assign To

Plumm shows:

Loading...

while loading the current assignment settings.


Choosing who the policy applies to

The available assignment options are:

All Employees

Assigns the policy to all employees.

Select By Condition

Assigns the policy based on selected conditions.

Select By Name

Assigns the policy to selected employees.

If Select By Name or Select By Condition is selected without any employees:

Required field

If Select By Condition has conditions but no employees match:

No policy will be assigned to any user, as conditions are not satisfied.


Confirming assignment

To save the assignment:

  1. Select Confirm.

To close without saving:

  1. Select Cancel.

After a successful update:

  • Plumm shows:Policy updated
  • Assign To closes.
  • The Time Off list refreshes.
  • The Users count on the policy row updates.

If validation fails:

Something went wrong while validating users.

If saving fails:

Something went wrong, Please try again.


When people will move to a different cycle

If at least one affected employee moves to a policy with a different accrual cycle, Plumm opens:

Users will move to a different cycle

The message explains:

At least one affected user is switching to a policy with a different accrual cycle.

The recalculation notice shows:

Carry-over balance, days taken and current balance will be recalculated within 24 hours.

Confirmation message:

Do you want to continue?

Available actions:

  • Confirm — continues with the assignment.
  • Cancel — stops the change.

Sync User

Sync User appears in the policy three-dot menu () only when:

  • The policy status is Active.
  • Assign To is set to All Employees.

The heading is:

Sync Users

The description is:

Select users to assign to this policy.

The panel shows:

  • Policy Name
    • Read-only.

Note:

User counts may differ after sync. Leavers are automatically removed from policy assignments, while newly selected users will be added upon Synchronisation.

The selection counter shows:

{n} of {n} selected

To sync users:

  1. Select employees from the grid.
  2. Select Sync {n} users.

The button remains disabled until at least one employee is selected.

  • Who can assign a time-off policy?
    You need Time off on Admin permission.
  • Where is Assign To?
    Go to Admin → Settings → Time Off tab → Expand Policy Type → Three-dot menu (⋮) on the policy row → Assign To.
  • What message appears after a successful assignment?
    Plumm shows Policy updated.
  • Why is Assign To disabled?
    The policy status is Inactive. Inactive policies cannot be assigned.
  • When do I see Sync User?
    Sync User appears only when the policy is Active and assigned using All Employees.
  • Can I assign employees from Edit Policy?
    Yes. On the Details section, assignment controls can be available unless they are locked because of existing leave. Assign To from the policy row is the dedicated action after the policy has been saved.
