Admin Benefits

 Summary

Admin Benefits is where you create and configure benefit schemes. Add a benefit with a Name, Category, Type, Location, Currency, and Auto Enrolment when the Category is Pension. Open the benefit to configure General, Payment, Members, Approval, Provider, Worker Groups, or Vehicles, depending on the benefit type.

Before you begin

You must have an active Payroll add-on to access and use Payroll features.

Payroll must be on your organisation’s contract. The Admin Benefits menu item is shown when the Payroll add-on is active and you have the Admin Benefits page permission or a universal admin role.

The following permissions apply on the Benefits list:

  • Add Benefits — shows Add Benefit.
  • View Benefits — allows you to select View and open a benefit card.
  • Edit Benefits — allows you to edit a benefit from the list.
  • Delete User Benefit — allows you to delete a benefit from the list. This is a Payroll permission, not an Admin permission.

You should have at least one active location and an available currency list.

For Payment tabs, you need pay codes for the relevant location.

For a pension, you also need provider details and worker groups before enrolment through Company Money.

This article covers Admin → Benefits. It does not cover the Company Money Benefits tab or Money → My Benefits.


Opening Admin Benefits

  1. Log in to Plumm.
  2. Open Admin.
  3. Select Benefits.

The page title is Benefits.

Search uses the placeholder Search. If there are no benefits, Plumm shows Nothing to show here yet.

Each benefit card shows:

  • Benefit name
  • Type, such as Allowance, Loan, Recurring, or another stored type
  • Category
  • Location name

If you have Add Benefits permission, Add Benefit is shown.


Adding a benefit

Select Add Benefit.

The heading is Add Benefits.

Name

Required. If empty, Plumm shows Required field. The server can also return Name field is required.

Category

Required. The placeholder is Select.

Options are:

  • Asset
  • Entertainment
  • Educational
  • Health
  • Loans
  • Medical
  • Mileage
  • Pension
  • Telephone
  • Travel
  • Vehicles
  • Vouchers
  • Other

If you select Pension, Type is automatically set to Recurring and disabled. Auto Enrolment is also shown.

Type

Required. The placeholder is Select.

Options are:

  • Recurring
  • Allowance
  • Loan

For a Pension category, Type is Recurring and cannot be changed.

Location

Required. The placeholder is Select. The list contains active company locations.

Currency

Required. The placeholder is Select. Search is available.

Auto Enrolment

Shown only when Category is Pension. This is a checkbox and is saved only when Pension is selected and the checkbox is ticked.

Select Confirm.

On success, Plumm shows Benefits added successfully.

Error messages can include:

  • Type field is required.
  • Category field is required.
  • Location field is required.
  • Error occured, please refresh and try again

The new benefit appears on the list. Open it to complete General, Payment, Members, and any type-specific settings.

The details page depends on the benefit configuration:

  • Loan — Loan details
  • Allowance — Allowance details
  • Recurring + Pension — Pension details
  • Recurring + Vehicles — Vehicles details
  • Recurring + any other category — Recurring details

Editing or deleting a benefit from the list

Open the three-dot menu on a benefit card.

View

Requires View Benefits. Selecting the card also opens the benefit details when you have View Benefits.

Edit

Requires Edit Benefits.

The modal heading is Edit Benefits. The same fields available when adding a benefit are shown, including Auto Enrolment when Category is Pension.

The Help link changes to the Edit a Benefit knowledge base article.

On success, Plumm shows Benefit updated successfully.

Delete

Requires Delete User Benefit.

The modal heading is Delete Benefit?

Plumm shows Are you sure you want to delete this? This action cannot be undone.

Enter DELETE in the Type DELETE here field.

If the confirmation text is incorrect, Plumm shows Please type DELETE to confirm deletion.

Select Cancel to leave without deleting, or Confirm to continue.

On success, Plumm shows Benefit deleted successfully.


Opening benefit details

Open a benefit from the Admin Benefits list.

The header is displayed as:

[Benefit name] - [Location name]

Use the back chevron to return to Admin Benefits.

The available tabs depend on the benefit type and category.


Allowance details

Allowance benefits have the following tabs:

  • General
  • Payment
  • Members
  • Approval

General

General shows:

  • Name
  • Type
  • Category
  • Logo
  • Allowance Type
  • Allowance Amount

The three-dot menu includes Edit and Delete.

When you select Edit, the Edit Benefit form includes:

Name

Required. An empty value shows Required field.

Description

Enter a description where required.

Add a Link

If entered, it must be a valid URL. Otherwise, Plumm shows Invalid URL.

Allowance Type

Required. Options are Select and Monthly.

Amount

Required and must be greater than 0.

Validation messages can include Amount must be greater than 0 or Required field.

Upload a Logo

Select Upload to add a logo. If a logo already exists, Remove File is available.

Select Confirm to save.

Selecting Delete from General opens Delete Benefit Details?

Plumm shows Are you sure you want to delete this? This action cannot be undone.

Confirming the deletion returns you to Admin Benefits.

Payment

The section heading is Payments.

It shows Payment Method followed by Employee Pay Code or Expense.

Open the three-dot menu and select Edit to open Edit Payment.

Payment Method

Options are:

  • Payroll — Pay or deduct contributions via payroll.
  • Expense — Pay or deduct contributions via expense.

Employee Pay Code

Shown when Payment Method is Payroll. This is required. If empty, Plumm shows Required field.

Expense Name

Shown when Payment Method is Expense. This is required. If empty, Plumm shows Required field.

Select Confirm.

Members

The three-dot menu includes Add Members and Delete.

The grid contains:

  • Checkbox
  • Name
  • Job Title

If there are no members, Plumm shows Nothing to show here yet.

The export file is Members.xlsx.

Select Add Members to open Edit Members.

Options are:

  • All Employees
  • Select By Condition
  • Select By Name

Select Cancel or Confirm.

Delete opens Delete Members?

Plumm shows Are you sure you want to delete this? This action cannot be undone.

Select Cancel or Confirm.

Approval

The section heading is Approval Rule.

It shows Approval and the current rule name. If no rule is configured, Plumm shows --.

Open the three-dot menu and select Edit to open Edit Approvals.

Use the Approval rule dropdown to select a rule. The first option is Select.

Select Confirm.

A new benefit is created with the default Admin approval rule when that rule exists.


Loan details

Loan benefits have the following tabs:

  • General
  • Payment
  • Members

The Approval tab is not shown for Loan benefits.

General

General shows:

  • Name
  • Type
  • Category
  • Logo

Edit Benefit includes:

  • Name — required
  • Description
  • Add a Link
  • Upload a Logo

An invalid link shows Invalid URL.

Payment

The section heading is Payments.

It shows Payment Method and Employee Pay Code.

Edit Payment has Payroll as the only Payment Method.

Employee Pay Code is required. If it is empty, Plumm shows Required field.

Members

Members follows the same pattern as Allowance.

You can use Add Members and Delete.

The grid shows Name and Job Title.

Edit Members provides:

  • All Employees
  • Select By Condition
  • Select By Name

Recurring details

These details are used when Type is Recurring and Category is neither Pension nor Vehicles.

The tabs are:

  • General
  • Payment
  • Members
  • Provider Settings

The Approval tab is not shown.

General

General shows:

  • Name
  • Type
  • Category
  • Logo
  • Employee Contribution
  • Employer Contribution

Edit Benefit includes:

  • Name — required
  • Description
  • Add a Link

  • Upload a Logo

Employee Contribution and Employer Contribution are the limits used on Company Money Recurring when you Add User or Update.

Payment

Payment shows:

  • Payment Method
  • Employee Pay Code
  • Employer Pay Code

Edit Payment has Payroll as the only Payment Method.

Employee Pay Code and Employer Pay Code are required. If a required pay code is empty, Plumm shows Required field.

Members

Members follows the same pattern as Allowance, with an Action label on the menu.

Available actions include Add Members and Delete.

Provider Settings

Provider Settings is shown for this recurring benefit type.

Use this tab to configure the provider for the recurring benefit.


Vehicles details

Vehicle benefits have the following tabs:

  • General
  • Vehicles

There is no Payment or Approval tab.

General

General uses the pension-style panel and shows:

  • Name
  • Description, when present
  • Type
  • Category
  • Logo

Edit Benefit includes:

  • Name — required
  • Description
  • Add a Link
  • Upload a Logo

Vehicles

Select Add Vehicle.

The modal heading is Vehicle Details.

Delete opens Delete Vehicle Benefit?

Vehicles added here appear in Company Money → Benefits → Vehicles as a read-only list.

Pension benefits have the following tabs:

Members, Payment, and Approval are not shown for Pension benefits.

General

General shows:

Worker Groups

Use Worker Groups to configure the groups required for the pension.

This is the only Admin screen with Add Worker Group.

Provider

The section heading is Settings.

It shows:

  • Provider
  • Pension Rule
  • Default Worker Group
  • Payment Method
  • Pension Payment Due Date
  • Account Number
  • Username

Open the three-dot menu to access provider actions.

Edit Provider Settings includes the following.

Provider

Disabled when editing.

Options are:

  • Smart
  • Nest

  • Penfold

Provider Name

Shown when Provider is Custom.

Pension Rule

Options are:

  • Relief at Source
  • Net Pay
  • Salary Sacrifice

Employee Contribution% for Relief at Source

Shown when Pension Rule is Relief at Source.

Salary Sacrifice Contribution

When Salary Sacrifice is selected, contribution options are:

  • Fixed Amount (GBP)
  • Percentage (%)

Frequency is also available.

Set up the provider details before anyone is enrolled through Company Money Pension.


Frequently Asked Questions (FAQ)

  • Who can open Admin Benefits?
    Users with the Admin Benefits menu permission and an active Payroll add-on can access Admin Benefits.
  • Why is Type locked?
    Category is set to Pension. Pension benefits automatically use the Recurring type, so Type is disabled.
  • Why is Auto Enrolment missing?
    Auto Enrolment is shown only when Category is Pension.
  • Why does Loan have no Approval tab?
    Loan details do not include an Approval tab. Allowance benefits include Approval.
  • Why does Pension have no Members or Payment tab?
    Pension details use General, Worker Groups, and Provider. Enrol people through Company Money Pension.
  • Where do employees see assigned benefits?
    Employees can see assigned benefits under Money → My Money → Benefits when they have View My Benefits permission. This is separate from the Admin Benefits page.
  • Can I add a benefit from the public website?
    No. Add and configure benefits from Admin → Benefits after logging in to Plumm.
