Candidate stages in Hire

Summary
Plumm Hire uses stage labels to show the latest action status of a candidate on a job. The stage label shown on the card is different from the pipeline column where the candidate is placed.

Before you begin

To view candidate stages, you need:

  • Hire included in your organisation’s contract.
  • View All Jobs permission to open a job.
  • View Candidate Overview permission to view the candidate page.

Important notes:

  • The pipeline column shows where the candidate is placed.
  • The stage label shows the latest candidate action status.
  • Open a job from Jobs, then select a candidate card.

Opening a candidate on a job

Open the candidate stage details:

  • Log in to Plumm.
  • Open the 9-dot menu. The control label is Apps.
  • Under PRODUCT SUITE, select Hire.
  • Select Jobs.
  • Open the required job.
  • Select the candidate card.

The card and candidate page can show statuses such as:

  • New
  • Pending
  • Booked
  • Scheduled
  • Completed
  • Sent
  • Signed
  • Hired
  • Rejected
  • Removed
  • Cancelled
  • Moved
  • On Hold

Important notes:

  • Candidate Pool uses a shorter stage filter list:
    • Sourced
    • Screening
    • Interview
    • Offer
    • Contract
    • Hired
    • On Hold
    • Rejected
  • Overview All Candidate Report can show detailed stored values, such as:
    • SCHEDULED_SCREENING
    • SENT_OFFER
  • The candidate card displays the shorter stage label.

Understanding stage labels

New

  • Stored value:
    • NEW

Used when:

  • A candidate is newly added to a job.

Pending

  • Shown when the candidate status is Pending.

Moved

  • Used when you select Move instead of Schedule or Send.

Stored values can include:

  • MOVED
  • MOVED_SCREENING
  • MOVED_INTERVIEW
  • MOVED_OFFER
  • MOVED_CONTRACT

Card label:

  • Moved

Scheduled

  • Used when screening is scheduled.

Stored values can include:

  • SCHEDULED
  • SCHEDULED_SCREENING

Card label:

  • Scheduled

Completed

  • Used when screening or an interview is completed.

Stored values can include:

  • COMPLETED
  • COMPLETED_SCREENING
  • COMPLETED_INTERVIEW

Card label:

  • Completed

Booked

  • Used when an interview is booked.

Stored values can include:

  • BOOKED
  • BOOKED_INTERVIEW

Card label:

  • Booked

Sent

  • Used after an offer or contract is sent.

Stored values can include:

  • SENT
  • SENT_OFFER
  • SENT_CONTRACT

Card label:

  • Sent

Signed

  • Used after eSign is completed.

Stored values can include:

  • SIGNED
  • SIGNED_OFFER
  • SIGNED_CONTRACT

Card label:

  • Signed

Cancelled

  • Used after an interview, offer, or contract is cancelled.

Stored values can include:

  • CANCELLED_INTERVIEW
  • CANCELLED_OFFER
  • CANCELLED_CONTRACT

Card label:

  • Cancelled

On Hold

  • Stored value:
    • ONHOLD

Card label:

  • On Hold

Rejected

  • Stored value:
    • REJECTED

Card label:

  • Rejected

Removed

  • Stored value:
    • DELETED

Card label:

  • Removed

Hired

  • Stored value:
    • HIRED

Card label:

  • Hired

Important note:

  • If a status does not match the available list, the candidate page can show Pending as the default label.

Understanding which actions set the label

Candidate actions update the stage label.

Add Candidate or application

  • Sets:
    • New

Move on Screening, Offer, or Contract

  • Sets:
    • Moved

Schedule Screening

  • Sets:
    • Scheduled

Requires:

  • Schedule Screening permission.

Candidate completes screening

  • Sets:
    • Completed

Schedule Interview

  • Sets:
    • Booked

Requires:

  • Schedule Interview permission.

Interview finished

  • Sets:
    • Completed

Send Offer or Send Contract

  • Sets:
    • Sent

Requires:

  • Send Offer permission.
  • Send Contract permission.

Candidate signs with eSign

  • Sets:
    • Signed

Cancel interview, offer, or contract

  • Sets:
    • Cancelled

Permissions:

  • Cancel Offer requires Cancel Offer.
  • Cancel Contract requires Cancel Contract.

Hold Candidate

  • Sets:
    • On Hold

Requires:

  • Put On Hold permission.

Confirmation message:

  • Candidate on hold Successfully.

Reject Candidate

  • Sets:
    • Rejected

Requires:

  • Reject Candidate permission.

Confirmation message:

  • Candidate Rejected Successfully.

Remove Candidates

  • Sets:
    • Removed

Requires:

  • Remove Candidate permission.

Hire Candidate

  • Sets:
    • Hired

Process:

  • Confirm Hire Candidate?
  • Select Hire.

Confirmation message:

  • Congratulations, {name} hired successfully.

Onboard

Requires:

  • Onboard Candidate permission.

After successful onboarding:

  • Candidate onboarded successfully.

Frequently Asked Questions (FAQ)

  • Is Moved a pipeline column?
    No. Moved is a candidate status. The candidate remains in the selected pipeline column, such as Screening, Interview, Offers, or Contracts.
  • Why does All Candidate Report show Scheduled Screening instead of Scheduled?
    The report uses the longer stored value. The candidate card shows the shorter label Scheduled.
  • What does Removed mean?
    Removed uses the stored value DELETED and appears as Removed on the card. It is different from an Archived job.
  • Can a candidate be Hired and Onboarded?
    Yes. Hire Candidate marks the candidate as hired on the job. Onboard starts onboarding and requires Onboard Candidate permission. Candidates can be onboarded from later stages when the action is available.
