Carryover Adjustments

Summary

Super Admins and System Admins can now adjust carryover leave allocation for any time-off request. This includes toggling carryover status and distributing leave days between carryover and current balances, with strict validation checks.

Before you begin

Only users with the following roles can access this feature:
  • Super Admin
  • System Admin (Plumm)
Carryover adjustments are available under team/user profile's each time-off record’s action menu (three dots). Carryover settings must be enabled to use this option.

Step 1.  Access Carryover Adjustment

  1. Go to Team/User Profile > Time Off Records
  2. Click the three dot icon next to a time off request
  3. Select Carryover Adjustment
A side panel will appear with leave data and configuration options.

Step 2. Configure carryover settings

  1. Review the leave details displayed at the top of the side panel
  2. Toggle the Carryover Leave switch to Yes or No
    • If Yes, two fields will appear:
      • Carryover Duration: Days deducted from carryover balance
      • Duration: Days deducted from main balance
  3. Enter the values based on how the leave should be split
    • Example:
      • Carryover Duration = 3
      • Duration = 2
  4. Admins must enter these fields whenever carryover is toggled ON
If the record already uses carryover, the toggle will show as ON by default.



Step 3. Acknowledge impact and apply changes

  1. Read the warning message in amber:
  2. This update will affect your leave balance calculation
  3. Tick the checkbox to confirm
    • If the checkbox is not ticked, the Apply button will be disabled
    • Tooltip message:
    • “You must acknowledge that the update will affect your leave balance calculation”
  4. Click Apply to save changes
All changes are automatically logged in the Activity Log.
 

Validation Rules

  • Carryover setting must be ON to proceed
  • Adjustment date must not exceed the carryover expiry date
  • Adjustments cannot exceed the carryover limit
  • Adjustments are not allowed for future leave cycles
  • The sum of Carryover Duration and Duration must equal the total leave days taken

      Frequently Asked Questions (FAQ)

      1. Who can use the Carryover Adjustment feature?

      Only Super Admins and System Admins (Plumm) can see and use this option.


      2 . Why can’t I adjust a future leave request?

      Carryover adjustments are restricted to the current cycle. Future cycle adjustments are not allowed.


       

      3. What if the total adjustment doesn’t match the leave days taken?

      You’ll receive a validation error. Ensure the carryover and main balance values match the total leave duration.


      4. Where can I review the history of carryover changes?

      All adjustments are recorded in the Activity Log for transparency and auditing.
