Before you begin

  • You must have administrative access to the Rota section to edit shifts.
  • Ensure that you have the updated shift details, including the shift's working schedule, color, and approval settings.

Step 1.Edit a shift in Rota

  1. Navigate to Admin > Rota and ensure the Shift tab is selected.
  2. Click on the three dots (ellipsis) next to the shift you want to edit and select Edit.
  3. In the Edit Shift form, you will be able to modify the following fields:
    • Title: Change the name of the shift (e.g., "Night Shift", "Morning Shift").
    • Description: Update the shift’s description (e.g., "Covering hours from 8 PM to 6 AM").
    • Shift Colour: Choose a new color for the shift to help differentiate it.
    • Working Schedule: Select the working schedule for the shift (e.g., Onboard Meeting, Flexible).
    • Fixed: The shift times remain consistent every day of the week.
    • Flexible: The shift times can vary each day (e.g., different start/end times for different days).
    • Set Shift timings and Break duration for each day of the week (only available when flexible schedule is selected).
    • Daily Working Hours: Adjust the hours for each day of the week (e.g., 8 hours from Monday to Friday).
    • Shift Timings: Define the start and end time of the shift (e.g., 11:00 AM to 7:00 PM).
    • Break Duration: Set the duration of breaks within the shift (e.g., 60 minutes).
  4. After updating the General information, click Next to move to the Settings tab.

Step 2. Edit shift settings

  1. In the Settings tab, you can configure the following options:
    • An employee is allowed to raise shift request for number of days: Set the number of days an employee can raise a  shift request s in a week/month (e.g., 3 day in a week)
    • An employee is allowed to raise shift request for number of times: Set the number of times an employee can raise shift requests  in a week/month (e.g., 3 day in a week)
    • Employee can raise past dated shift request, but not beyond: Set the maximum duration for past-dated shift requests (e.g., 1 month).
    • Restrict past dated shift request to: Limit how far back an employee can request past shifts.
    • Restrict employees from raising shift requests on: Choose days when shift requests cannot be made, Only Weekly offs, Only Holidays or both.
    • Applying for shift request requires prior notice : Set up the number of days prior notice is required for raising shift request.
    • Requires approval: If checked, the shift request will require approval before being processed.
  1. After setting the Settings, click Confirm to save the changes.

Step 3. Confirm the invoice

  1. After entering the invoice name, click on the "Confirm" button to add the invoice.
  2. The invoice will be added to the system and available for further management.

1. Can I change the shift timing after it's saved?

Yes, you can edit the shift timings by following the steps above and modifying the start and end times.
 

2.What is the "Shift Colour" for?

 The Shift Colour allows you to visually distinguish between different shifts in the Rota.

3. Can I require approval for shifts?

 Yes, if you want all shift requests to be approved before finalization, check the Requires approval box in the Settings tab.
 

 

4. Can I limit how many days ahead an employee can request shifts?

Yes, the An employee is allowed to raise shift request for field lets you set the maximum number of days an employee can request shifts for.
 

 

5. Is it possible to change the working schedule from fixed to flexible after saving the shift?

Yes, you can change the Working Schedule between Fixed or Flexible anytime while editing the shift.
