Summary
Hire is Plumm’s recruitment area where you can manage jobs, candidates, interviews, offers, contracts, and onboarding.
Use Hire to create job postings, track candidates through pipelines, communicate with applicants, and manage recruitment activities.

Before you begin
• Hire must be included in your organisation’s contract.
• The Hire menu is available only when the hire add-on is active.
• Open Hire from the 9-dot menu. The control label is Apps.
• Hire is not available for the Mental Health; L & D package.
• If Hire is not included in the contract:
• Admin and SuperAdmin users will see Hire in the sidebar with a Start option.
• The Start option opens the Hire trial page.
• Users can select Start 60 Days Free Trial or Subscribe Again if a trial was already used.
• Pricing shown is £3.00 /user/month.

• You need at least one of the following permissions to view Hire menu items:
• View Overview
• View All Jobs
• View Message
• View Candidate Pool
• Career Site

• Additional permissions control available actions, including:
• Add a Job
• Edit Jobs
• View Job Pipeline

• You should have the following ready:
• Position Owner
• Users who should have access to the job if visibility is restricted

• eSign add-on if you want to send offers or contracts for signature


Opening Hire
• Log in to Plumm.
• Open the 9-dot menu. The control label is Apps.
• Under PRODUCT SUITE, select Hire.
• The Hire section will appear in the sidebar.
• The sidebar items available depend on your permissions:
• Overview
• Jobs
• Messages
• Candidate Pool
• Career Site

• Admin users can also access Admin → Hire to manage scorecards and candidate tags when they have View Scorecard or Candidate Tag permission.


Using Overview
• Select Overview from the Hire menu.
• The page title displays as Overview.
• The inner menu title displays as Hire.
• The Overview page can also be accessed through /hire/reports.

• Overview displays:
• Total Active Jobs
• Total Applicants
• Offers Sent
• Interview to offer rate
• Candidate Hired
• Applicant to hire rate

• Additional sections include:
• Sources
• Phases
• Gender
• Locations

• Location tooltip displays: View applicants distribution by location. Hover for the details.

• Reports available:
• Job Wise Report
• Screening Report
• Interview Report
• Offer/Contract Report
• All Job Report
• All Candidate Report

• To run a report:
• Select a report card.
• Apply filters.
• Select Run.
• Use the Export icon to download results.

• If there is no data available, Plumm displays Nothing to show here yet.


Opening Jobs
• Select Jobs from the Hire menu.
• The page title displays as Jobs.
• Use Search to find jobs.
• If you have Add a Job permission, the Add Job option is available.

• Job status filters include:

• Select Add Job to create a new position.
• The modal heading displays as Add New Positions.

Using the job pipeline
• Open a job to access the pipeline.
• The job header displays:

Moving a candidate through stages
• Candidates can enter the pipeline through:
• Manual addition.
• Career Site applications.
• Job boards.

• Candidate statuses include:

• On Hold
• Rejected
• Removed

• Candidates can be moved by:
• Dragging the candidate card.
• Using the candidate card menu.

• Screening actions:

• Candidates receive Scheduled status after scheduling.

• Interview actions:
• Schedule Interview requires Schedule Interview permission.
• Interview types include:

• Interviews using platforms other than Plumm are not recorded and AI evaluation is not available.

• Candidate rejection:
• Select Reject Candidate.
• Complete Details and Message sections.
• Choose notification settings if required.
• Confirmation message displays Candidate Rejected Successfully.

• Candidate hold:
• Select Hold Candidate.
• Confirmation message displays Candidate on hold Successfully.

• Hiring and onboarding:
• Hire Candidate allows hiring without completing the full onboarding form.
• Onboard requires Onboard Candidate permission.
• Successful onboarding displays Candidate onboarded successfully.


Using Messages, Candidate Pool, Career Site, and Admin Hire

Messages
• Select Messages from the Hire menu.
• Send Message permission is required to compose messages.
• Available filters include:

• To Me

• Email integration allows candidate replies to appear in Messages and candidate profiles.


Candidate Pool
• Select Candidate Pool from the Hire menu.

• Hire notifications can be sent for:
• Screening scheduling.
• Interview scheduling or cancellation.
• Candidate rejection.
• Candidate hold.
• Offers.
• Contracts.
• Messages.
• Candidate onboarding.

• Screening completion emails use the subject:
• Screening Complete: {name} for {job title}

• Interview cancellation emails use the subject:
• Cancellation of Interview Scheduled for {position name}

• Rejection and hold notifications can be delayed based on selected settings.


Download or export
• Overview reports can be exported after selecting Run.
• Candidate Pool can be exported as CandidatePool.xlsx.
• Candidate information export requires Export Candidate Information permission.
• Pipeline files can be downloaded with Download Job File permission.
• Resume downloads are available when enabled.
• The Jobs list does not have an export option.


Frequently Asked Questions (FAQ)
• Why is Hire missing from the menu?
Hire must be included in your contract, and you need the required Hire permissions. Hire is not available for the Mental Health; L & D package.

• Why do I only see Start under Hire?
Hire is not included in your contract. Admin and SuperAdmin users can access the trial page from Start.

• Why can I not open a job?
You need View All Jobs permission and must have access through Job Visibility, Position Owner access, or Admin/SuperAdmin access.

• What is the difference between Archived, Deactivated, and Paused jobs?
Paused jobs can be resumed, Deactivated jobs can be reactivated, and Archived jobs are stored as deleted.

• Can I move a candidate without scheduling or sending anything?
Yes. Select Move when moving a candidate to Screening, Offer, or Contract stages.

• Are Google Meet and Teams interviews recorded in Plumm?
No. Interviews using platforms other than Plumm are not recorded and AI evaluation is not available.

• Where do candidate replies appear?
Candidate replies appear in Messages and the candidate overview when email integration is connected.

• Is Career Site part of Hire?
Yes. Career Site is available under the Hire section.

• What is /hire/reports?
It opens the same Overview page and provides access to Reports cards.

• How do I duplicate a job?
Select Duplicate Job from an Active job card, confirm the action, and the duplicated position will be created successfully.
