Hire Pipeline: Search, Filter, Move, Hold and Reject Candidates

Last Updated: 6 November 2026

What you can see and do here depends on the permission group (role) your admin has given you. See Set Up Roles and Permission Groups.

What It Is and Who It Is For

Each job has a pipeline: a board with a column for each stage, from Candidates through Screening, Interview, Offer, Contract and Hired, plus On Hold and Rejected. Each candidate is a card. You move cards along as candidates progress, and Plumm sends the right emails when you choose to.

This article is for recruiters and hiring managers who manage candidates.

Prerequisites

  • An active job with candidates. See Add and Import Candidates.
  • View Job Pipeline permission, plus the stage permissions for what you want to do.

Permissions by Role

Role What They Can Do
Super Admin and Hire Admin Everything on every pipeline
Recruiter or hiring manager Actions their role allows, such as Schedule Interview, Reject Candidate or Put On Hold, on jobs they can see
Interviewer or read-only role Sees the pipeline and candidates. No Action button or stage moves
User No access

Find Candidates

  1. Open Hire > Jobs and click the job. The Pipeline tab opens.
  2. Type a name, email or tag in the search box. Cards filter across every column. No match shows No Candidates Found.
  3. Click Filter to filter by stage, tags, source, added by, added on, candidate email or status (Is or Is Not). Use Add Nested Filter for more, then Apply. Clear All resets.

Open a Candidate

Click a card to open the candidate's profile. The tabs are:

Tab What It Shows
Overview Personal details, experience, education and skills from their CV or application
Evaluation Job compatibility scores, screening analysis, and feedback and scorecards
Interviews Interview recordings, summaries and AI feedback, where available
Messages Emails with the candidate
Files Their CV and any other files. Download the CV from here
Activity Everything that has happened, with dates

The Notes panel on the side lets the hiring team add internal notes. Candidates never see them.

From Action at the top: Move To, Share (choose what to share), Export PDF and Open in new tab.

Move a Candidate

  1. Drag the card to a new column, or use Action > Move To.
  2. Choose:
    • Move: moves the candidate without scheduling anything or emailing them.
    • Schedule (screening or interview), or Send (offer or contract): opens the scheduling or sending steps and emails the candidate.

See Screening and Interviews: Schedule, Run and Cancel, and Offers and Contracts: Send, Cancel and Resend.

Put a Candidate On Hold

  1. Drag the card to On Hold, or use the three dots and Hold Candidate.
  2. Add a reason and any comments.
  3. Choose whether to email the candidate, and when (now or later). Click Generate to draft the email, then check it.
  4. Confirm.

To bring them back, drag the card from On Hold to the stage you want and fill in that stage's details.

Reject a Candidate

  1. Drag the card to Rejected, or use the three dots and Reject Candidate.
  2. Pick a rejection reason and add a comment. The reason is saved in the candidate's Activity and used in reports.
  3. To email the candidate, tick Notify Candidate, choose the template and timing, and turn on BCC Me or BCC Position Owner if you want a copy. Leave it unticked to reject without an email.
  4. Confirm.

To reconsider someone, drag their card from Rejected to the stage you want.

Bulk Actions

Select several cards, then use Action to Schedule Screening, Reject, Hold, Remove or Send Email for all of them. Bulk actions are hidden on deactivated and archived jobs.

Remove a Candidate From a Job

  1. Click the three dots on the card and select Remove Candidate.
  2. Confirm.

The candidate leaves this job but stays in the Candidate Pool.

Job Actions on the Pipeline

The three dots at the top of the pipeline open Job Description and Job Page (the public page).

Limitations

  • Moving with Move doesn't email the candidate. Use Schedule or Send when they need to know.
  • Deactivated jobs block most stage moves.
  • Removing a candidate from a job can't be undone for that job, but you can add them again from the Candidate Pool.

FAQs and Troubleshooting

Does the Candidate See Why They Were Rejected? Only what you write in the email. The reason and comments stay internal.

Can I Undo a Rejection? Yes. Drag the card from Rejected back into the pipeline.

Why Can't I Drag Cards? Your role doesn't allow stage moves, or the job is deactivated.

Where's the Candidate's CV? On their Files tab.
