How hiring works in Plumm

Before you begin
To use Hire, you need:
- Hire included in your organisation’s contract.
- At least one Hire page permission:
- View Overview
- View All Jobs
- View Message
- View Candidate Pool
- Career Site
Important notes:
- Open Hire from the 9-dot menu. The control label is Apps.
- Hire is not available for the Mental Health;L & D package.
- If Hire is not included in the contract:
- Admin and SuperAdmin users can see Hire with a Start option.
- Selecting Start opens:
- /talent/start
- The page heading shows:
- Smarter Hiring, Faster Results
Common Hire permissions include:
- Add a Job
- Edit Jobs
- View Job Pipeline
- Add Candidate
- Schedule Screening
- Schedule Interview
- Send Offer
- Send Contract
- Onboard Candidate
- Reject Candidate
- Put On Hold
- Send Message
Have the following ready:
- Position Owner.
- Users who should view the job if it is not visible to everyone.
- Screening questions if screening is enabled.
- Email integration if you want replies to appear in Messages.
- eSign add-on if sending offers or contracts for signature.
Important note:
- There is no separate Calculation tab. Hire is created through job setup, candidate actions, and hiring workflows.
Opening Hire
Open the Hire module:
- Log in to Plumm.
- Open the 9-dot menu. The control label is Apps.
- Under PRODUCT SUITE, select Hire.
The Hire section appears in the sidebar.
Available items depend on permissions:
- Overview
- Opens /hire/overview.
- Requires View Overview.
- Jobs
- Opens /hire/jobs.
- Requires View All Jobs.
- Messages
- Opens /hire/messages.
- Requires View Message.
- Candidate Pool
- Opens /hire/candidate-pool.
- Requires View Candidate Pool.
- Career Site
- Requires Career Site.
Admin users can also access:
- Admin > Hire
- Opens Admin Hire at /admin/hire.
Understanding how a hire is built
Hire starts with the job, then follows the candidate journey.
Job
Create a job from Jobs:
- Select Add Job.
- The modal heading shows:
- Add New Positions
Job setup includes:
- Details
- Job Description
- Pipeline
- Screening
- Shown when screening is enabled.
- Application
- Auto-Reject
- Post Job
Additional options:
- Select Save As Draft at any stage.
- The confirmation message shows:
- Position saved successfully.
Publish the job:
- On Post Job, select Save.
- The confirmation message shows:
- Position saved successfully.
Job visibility:
You can view jobs where:
- You are included in Job Visibility.
- You are the Position Owner.
- You are Admin or SuperAdmin.
Candidate
Candidates can enter a job through:
- Add Candidate from the pipeline.
- Bulk Upload from the Candidates column.
- Career Site or job boards.
- Candidate Pool.
Candidate stages can include:
- New
- Moved
- Scheduled
- Completed
- Booked
- Sent
- Signed
- On Hold
- Rejected
- Removed
- Hired
Move candidates:
- Drag the candidate card.
- Or use the card menu.
When moving:
- Screening opens Move or Schedule.
- Offers opens Offer Type with Move or Send.
- Contracts opens Contract Type with Move or Send.
Move:
- Places the candidate in the selected column without scheduling or sending.
- Updates the candidate status to Moved.
Complete hiring:
- Use Hire Candidate or Onboard.
Hire Candidate:
- Confirm Hire Candidate.
- Select Hire.
- The confirmation message shows:
- Congratulations, {name} hired successfully.
Onboard:
- Requires Onboard Candidate.
- After successful onboarding:
- Candidate onboarded successfully.
Understanding how the job controls the journey
The job controls available stages and actions.
Job statuses include:
- Active
- Stored as OPEN.
- Archived
- Stored as DELETED.
- Card tag shows Archived.
- Deactivated
- Paused
- Draft
- Card tag shows Drafted.
Pipeline columns appear based on enabled stages:
- Candidates
- Screening
- Interview stages
- Offers
- Contracts
- Hired
- On Hold
- Rejected
Important notes:
- Screening, Interview, Offers, and Contracts appear only when enabled in the job Pipeline settings.
Job Visibility controls:
- Who can view the job in Jobs.
The tooltip shows:
- Only selected users can view this job in the Jobs module.
Understanding extras that change the candidate
After candidates move through the pipeline, Hire adds additional hiring steps.
Screening
Requires:
- Schedule Screening permission.
Candidate status:
- Scheduled
Screening types:
- Video
- Text
Candidates complete screening from a link:
- Select Start Now or Get Started.
- Select Save & Next or Save & Complete.
Completed screening status:
- Completed
Interviews
Requires:
- Schedule Interview permission.
Interview types:
- Online Interview
- Face to Face Interview
Online platforms:
- Google Meet
- Teams
- Plumm
Important note:
- Interviews using platforms other than Plumm are not recorded and AI evaluation is not available.
Interview statuses:
- Booked
- Completed
Auto-Reject
Auto-Reject allows jobs to automatically reject candidates who do not meet predefined requirements.

Scorecards
Available recommendations include:
- No Hire
- Not Sure
- Average
- Hire
- Must Hire
Offers and Contracts
Offers:
- Requires Send Offer.
- After sending:
- Status becomes Sent.
- After eSign:
- Status becomes Signed.
Contracts:
- Requires Send Contract.
- Uses the same Sent and Signed statuses.
You can also:
- Select Move instead of Send to place candidates into the stage without sending documents.
Reject, hold, and remove
Reject:
- Requires Reject Candidate.
- The modal heading is Reject Candidate.
- Notification options include:
- Immediately
- 12 hours
- 24 hours
- 48 hours
- 60 hours
Hold:
- Requires Put On Hold.
- Confirmation message:
- Candidate on hold Successfully.
Remove:
- Requires Remove Candidate.
Important note:
- If the contract is not live, rejection and hold notification content is not sent.
Reviewing results on Overview
Open:

- Is this the same as the Hire menu article?
No. The Hire menu article explains navigation. This article explains how Plumm builds the complete hiring journey from job creation to candidate onboarding. - Where do candidates come from?
Candidates can be added from the pipeline, uploaded through Bulk Upload, received from the Career Site or job boards, or selected from Candidate Pool. - Can I skip screening or an offer stage?
Yes. When moving candidates to Screening, Offer, or Contract, select Move instead of scheduling or sending. - Do Google Meet or Teams interviews get recorded in Plumm?
No. Interviews using platforms other than Plumm are not recorded and AI evaluation is not available. - What is the difference between Hire Candidate and Onboard?
Hire Candidate marks the person as hired on the job. Onboard creates the user and starts onboarding. Onboard requires Onboard Candidate permission. - Why can I not see a job?
You need View All Jobs permission and must have access through Job Visibility, be the Position Owner, or be an Admin or SuperAdmin. - Why is Hire missing from the menu?
Hire must be included in the organisation’s contract, and you need at least one Hire page permission.
