How the Hire pipeline works

Summary
The Hire Pipeline is the board for managing candidates within a specific job. Each column represents a hiring stage, and candidates move through the pipeline when you complete actions such as screening, interviews, offers, contracts, or hiring.

Before you begin

To use the Hire Pipeline, you need:

  • Hire included in your organisation’s contract.
  • View All Jobs permission to access Jobs.
  • View Job Pipeline permission to open the Pipeline tab.

Important notes:

  • You can only view jobs where:
    • You are included in Job Visibility.
    • You are the Position Owner.
    • You are an Admin or SuperAdmin.
  • Open the pipeline from an Active job card.
  • Use Back to Jobs to return to:
    • /hire/jobs

Pipeline restrictions:

  • Bulk actions are hidden for Deactivated and Archived jobs.
  • Drag and drop actions to most columns are blocked when a job is Deactivated.

Opening a job pipeline

Open the pipeline:

  • Log in to Plumm.
  • Open the 9-dot menu. The control label is Apps.
  • Under PRODUCT SUITE, select Hire.
  • Select Jobs.
  • Open an Active job card.

The job header displays:

  • Experience
  • Location
  • Job Type
  • Workplace Type
  • Salary

The overflow menu includes:

  • Job Page
  • Job Description

Available tabs:

Pipeline

  • Requires View Job Pipeline.

Files

  • Requires View Job Files.
  • Available actions:
    • View
    • Download
  • Download requires Download Job File.

Insights

  • Requires View Job Insights.

The default tab is:

  • Pipeline

Search placeholder:

  • Search

Understanding the columns

The pipeline columns are created based on the stages enabled for the job.

Default columns include:

Candidates

  • The starting stage for candidates.

Screening

  • Appears only when Screening is enabled for the job.

Interview stages

Examples:

  • Interview #1
  • Interview #2

Additional interview columns:

  • Can be added through job setup.
  • Names come from the job configuration.

Offers

  • Appears when offer stages are enabled.

Contracts

  • Appears when contract stages are enabled.

Hired

  • Shows successfully hired candidates.

On Hold

  • Shows candidates temporarily paused in the process.

Rejected

  • Shows candidates who have been rejected.

Important notes:

  • Screening, Interview, Offers, and Contracts columns appear only when those pipeline categories are enabled for the job.

Column header actions:

  • Select All
  • Add Candidate
  • Bulk Upload

Permissions:

  • Add Candidate requires Add Candidate permission.
  • Bulk Upload requires Bulk Upload permission.
  • Bulk Upload is available from the Candidates column.

Understanding how a candidate moves

Candidates can move through the pipeline by:

  • Dragging the candidate card.
  • Using the candidate card menu.

Moving to Screening:

When a candidate is dropped into Screening, Plumm shows:

  • What would you like to do?

Options:

  • Move
    • Moves the candidate without scheduling screening or sending notifications.
  • Schedule
    • Schedules screening and sends an email notification.

Moving to Offers:

  • The modal shows:
    • Offer Type

Options:

  • Move
  • Send

Moving to Contracts:

  • The modal shows:
    • Contract Type

Options:

  • Move
  • Send

Moving to Interview:

  • Select Interview Type.
  • Choose whether to schedule or move based on the available flow.

Moving to Hired:

  • Plumm shows:
    • Hire Candidate?
  • Select Hire.

Confirmation message:

  • Congratulations, {name} hired successfully.

Moving to Rejected:

  • Use Reject Candidate.

Moving to On Hold:

  • Use Hold Candidate.

Important note:

  • Candidates cannot be dragged out of Hired to other columns in the same way as other stages.

Using search, filters, and bulk actions

Search candidates:

  • Use the Search box.
  • Placeholder:
    • Search

Filter candidates:

  • Select Filter.

Available filter controls include:

  • Clear All
  • Where
  • Add Nested Filter
  • Apply

If no candidates match:

Plumm shows:

  • No Candidates Found
  • No candidates to show for this filter. Try resetting your filters.

Bulk actions:

The Action menu can include:

Schedule Screening

  • Requires Schedule Screening permission.

Reject Candidates

  • Requires Reject Candidate permission.

Hold Candidates

  • Requires Put On Hold permission.

Remove Candidates

  • Requires Remove Candidate permission.

Send Email

  • Requires Send Message permission.

Available filter chips can include:

  • Schedule Screening
  • Completed Screening
  • Booked Interview
  • Completed Interview
  • Cancelled Interview
  • Signed Offer
  • Cancelled Offer
  • Signed Contract
  • Cancelled Contract

Frequently Asked Questions (FAQ)

  • Why is Screening missing from the board?
    Screening appears only when it is enabled for the job. Turn it on while adding or editing the job.
  • Why are Offers and Contracts missing?
    Offers and Contracts appear only when those pipeline stages are enabled for the job.
  • Can I move a candidate without sending an email?
    Yes. Select Move when moving candidates to Screening, Offers, or Contracts. The candidate status changes to Moved.
  • Why can’t I drag candidates on a Deactivated job?
    Drag and drop actions to most columns are blocked when the job is Deactivated. Bulk actions are also hidden for Deactivated and Archived jobs.
  • What are Files and Insights?
    Files is a job tab that requires View Job Files. Insights is a job tab that requires View Job Insights. Both are available alongside the Pipeline tab.
