 The Import Candidates feature allows recruiters and hiring managers to upload multiple candidates in bulk using an Excel template. Candidate details and resumes can be imported together, helping to streamline the recruitment process.

Before you begin

 To import candidates, you must have access to the Hire module and permission to manage candidates.

 

Before starting, ensure that:
  • All mandatory fields in the Excel template are completed.
  • Candidate resumes are included in a ZIP folder.
  • File names in the ZIP folder match the candidate records where required.
  • The Excel file follows the provided template format.


Step 1.  Download the candidate import template 

  1. Navigate to Hire > Candidate Pool.
  2. Click Add Candidate.
  3. Select Import Candidates.
  4. If you do not already have an Excel file, click the "here" hyperlink next to "Download the template" to download the import template.

Step 2.  Complete the candidate information 

  1. Open the downloaded Excel template.
  2. Enter all required candidate information in the designated fields.
  3. Review the data to ensure accuracy and completeness.
  4. Save the completed Excel file.

Step 3.  Upload Candidate Files 

  1. Click the 'Upload' CTA to upload the completed Excel template.
  2. Click the 'Next' CTA to continue.
  3. Click the 'Upload' CTA to upload the ZIP folder containing all candidate resumes.
  4. Once the ZIP folder has been uploaded successfully, click the 'Next' CTA

Step 4.  Validate Candidate Data

  • Review the mapped fields displayed on the Validate screen.
  • Compare the column titles from your Excel template with the corresponding fields in Plumm.
  • Ensure each field has been mapped correctly and displays a green tick, confirming a successful match.
  • Once you have verified all mappings, click the 'Next' CTA.

Step 5.  Review Import Results

  1. Review any validation errors displayed on the Import screen.
  2. Check for:
    • Missing mandatory fields
    • Invalid data formats
    • Missing candidate files
    • Mapping issues
  3. If errors are identified, review the Row and Error Description columns to understand which records require attention.
  4. Click the 'click here' hyperlink to download the error report for further details.
  5. Correct the errors in your source files and repeat the upload process by re-uploading the Excel file and ZIP folder if required.
  6. If no validation errors are displayed, click the 'Submit' CTA to complete the candidate import.

Frequently Asked Questions (FAQ)

1.Who can import candidates?  

 Users with the appropriate Hire module permissions can import candidates into the Candidate Pool. 
 

2.  What file format should I use for candidate data? 

 You must use the Excel template provided through the Import Candidates feature. 


3.Can I upload candidate documents during the import?  

 Yes. Candidate documents must be uploaded as a ZIP file during the import process.  
 

 

4.What happens if there are errors in the import file? 

The system will display validation errors during the final step of the import process. You must correct the issues and re-upload the file before the import can be completed. 

5.Why are some candidates not being imported? 

 This may occur if mandatory fields are missing, data formats are incorrect, or required candidate documents are not included in the ZIP file.  
 

6.Can I import multiple candidates at once?  

 Yes. The import feature is designed to support bulk candidate uploads using a single Excel file.Note:
  • Ensure all mandatory fields are completed before uploading the Excel file.
  • Ensure all required candidate documents are included in the ZIP folder.
  • Review all validation messages carefully before completing the import.
