Before you begin
- Only
.zip
file format is supported - Maximum of 1,000 images per upload
- For best results, split large batches into smaller folders with no more than 1,000 images each
- Make sure filenames or folder names follow a consistent pattern matching Email ID or Employee ID
Step 1. Upload the ZIP file
- Go to
Settings > Import > Import Profile Picture
- Click the Upload button
- Select your ZIP file
- Once uploaded, your file name appears in the list
- Click Next
Step 2. Map images to employees
- Under Mapping Documents, select:
- File Name or Folder Name depending on how your images are structured
- Choose the match method:
- Contains (partial match)
- Exact Match (full match)
- Then select the identifier used for mapping:
- Email ID
- Employee ID
- Click Next to proceed
Step 3. Review and complete import
- If there are issues with matching images to users, they’ll be listed under Error Description
- You can:
- Click the link to download a full error report
- Tick the Skip box to bypass individual errors and continue
- Click Submit to finalise the upload
✅ Only valid records will be imported. Skipped rows won’t be added to the system.

1.What file types are supported?
Only ZIP files containing image formats (e.g., JPG, PNG) are supported.2 .What happens if an image doesn’t match any user?
It will show as an unmatched row. You can choose to skip it or fix and re-upload.3. Can I use either Email ID or Employee ID?
Yes, you can choose based on how your image files are named or organised.
4. What’s the difference between File Name and Folder Name mapping?
- File Name: system checks the image file's name (e.g.,
john.doe@company.com.jpg
) - Folder Name: system checks the folder name the image is stored in inside the ZIP
5. What’s the difference between Contains and Exact Match?
- Contains: matches part of the Email or Employee ID (e.g.,
john
matchesjohn.doe@company.com
) - Exact Match: matches the full identifier exactly
