Manage AI Agent & Setting

Summary

Admins can configure and monitor their AI Agent from the Admin panel. This includes setting the agent name, personality, and currency, uploading knowledge documents, and viewing detailed usage analytics.

Before you begin

Only Admins and Super Admins can access and manage the AI Agent.
Make sure the following conditions are met:
  • The AI Agent is active in your organisation
  • You have admin-level access
  • Uploadable files are ready (PDF, DOCX, XLSX, JPG, PNG)
  • Each file is no larger than 5MB (up to 10 files per upload)

Step 1. Go to the AI Agent

        1. Go to Admin > AI Agent
        2. Select the Agent name from the dropdown at the top (e.g. AI Agent)
        3. Use the top tab navigation to switch between:
          • Overview
          • Settings
          • Analytics

        Step 2. Use the Overview tab

              1. View the embedded onboarding video titled Introduction to AI Agent Overview
              2. Under Quick Settings:
                • View the Agent Name (non-editable here)
                • View the Language (e.g. English – non-editable)
                • Toggle Reminders ON or OFF
              3. Click Open Settings Panel to make full edits
              4. View Analytics Overview with current month data:
                • Total Interactions
                • Active Users
              5. Review the Agent Profile Configuration checklist:
                • Agent Name
                • Time Zone
                • Personality
                • Base Currency

              Step 3. Configure Agent Identity

              1. Click the Settings tab at the top
              2. On the left-side panel, click Agent Identity
              3. Update the following fields:
                • Agent Name: Editable (max 10 characters)
                • Personality: Choose from Friendly, Professional, or Neutral
                • Base Currency: Select currency (e.g. GBP – British Pound)
                • Date Format: Select format (e.g. DD/MM/YYYY)
                • Time Zone: Select zone (e.g. GMT – London)
                • Language: Displayed as English (not editable)
              4. Toggle the setting Allow your Agent to send reminders ON or OFF
              Note: The Language dropdown is visible but disabled and cannot be changed.

              Step 4. Manage knowledge sources

              1. While in the Settings tab, click Knowledge Sources in the left-hand panel
              2. To upload content:
                • Click Add Content
                • Drag and drop files or click Browse
                • Upload supported file types: PDF, Word (.docx), Excel (.xlsx), JPG, PNG
                • Maximum 5MB per file, up to 10 files per session
              3. To view files:
                • Use the file list to view Name, Uploaded By, Upload Date, Read Status, and View icon
              4. To delete a file:
                • Click the three-dot icon (⋮) next to the file
                • Click Delete

              Step 5. Review analytics and insights

              1. Click the Analytics tab at the top
              2. View real-time usage stats for the current month:
                • Total Chats
                • Active Users
                • Repeat Users
              3. View Department Usage
                • See how many users per department have used the AI Agent
              4. View Module Usage
                • Breakdown by Insights, Product Knowledge, and Tasks
              5. View Total Chat Trends
                • Daily activity graph showing chat interactions over time

              1. How do I access the AI Agent settings?

              Go to Admin > AI Agent, then use the tabs to access Overview, Settings, or Analytics.
               

              2 . Where do I configure the Agent’s identity?

              In the Settings tab, select Agent Identity from the left-hand panel.
               

               

              3.Can I change the Agent’s language?

              No. The language field is visible but not editable. It defaults to English.
               

               

              4 .How do I know if a document is read?

              Check the Read Status column next to each uploaded file.
               

               

              5 .Who can manage and delete knowledge files?

              Only Admins or Super Admins can add or delete uploaded files.
               

               

              6 .What does the reminder toggle do?

              It allows the AI Agent to send reminders for HR tasks or events.
