Access and Manage My People

Summary

The My People page in Plumm gives HR teams a centralised view of all employees, including their onboarding and offboarding status. This guide explains how to access the page and what each tab does.

Before you begin

You must have the My People permission to view or manage this page.

Step 1. Open the My People page

  1. From the dashboard, click on the nine-dot navigation menu
  2. Make sure the Core module is selected (selected by default)
  3. Under People, click My People
  4. You’ll be redirected to the My People page

Step 2. Understand each tab

The My People page has five tabs:

2.1 All

Shows a combined list of:
  • Active Users
  • Onboarding
  • Offboarding
  • Leavers

2.2 Active Users

Displays currently employed users whose start date has passed.
Features:
  • Onboard User CTA:
    • Go through the full onboarding process
    • Quickly add a user with a few details
  • Three Dots Menu – Column Filter
    • Choose which columns are shown (some are fixed)
    • Rearrange fields via drag-and-drop
    • Apply filters to customise the table
  • Three Dots Menu – Export
  • Three dots next to each user:
    • Edit - Edit user's profiles in My People. Click here to learn more.
    • Delete User
    • Make Admin – The Admin tag signifies that the user has full access to all features available to admins within the system. Click here to learn more.
    • Offboard User - Is a go through process to offboard a user. Click here to learn more.
    • Download/Email P60 (if user is in a payroll cycle)
    • Send/Create Password Email – If a user hasn't set up their account yet, you can use this option to send them a setup email. Click here to learn more.

2.3 Onboarding

Lists users who:
  • Don’t have a start date
  • Have a future start date
Features:
  • Onboard CTA
  • Three dots next to each user to View, Edit, Delete or Send/Create Password Email
  • Filter by Name and Work Email
  • Export onboarding data

2.4 Offboarding

Shows users in their notice period.
They remain here until their revoke-access date passes.
Actions:
  • View
  • Edit Offboarding
  • Delete
  • Send/Create Password Email

2.5 Leavers

Users automatically move here once their revoke-access date passes.
Features:
  • Search and download leaver data
  • Edit
  • Reinstate – Returns the user to Active or Onboarding
Important:
  • Leavers lose access to the platform
  • Access is restored upon reinstatement


Step 3. Search and Download User Data

All four tabs, Active Users, Onboarding, Offboarding, and Leavers, include a Search bar at the top left corner. You can use it to quickly find users by their name.
Next to the Search bar, there’s a Download icon. Clicking this will export all data currently shown in the grid (based on your filters and visible columns) into a downloadable file. This is helpful for record-keeping or internal reporting.

Frequently Asked Questions (FAQ)

1. Can I delete users from the Active tab?

Yes. Use the Delete User option in their row.


2. Can I reinstate someone after they become a Leaver?

Yes. Use the Reinstate option to move them back to Active or Onboarding.


3. Why can’t I unselect some columns in Active Users?

Certain default columns are mandatory and cannot be hidden.


4. What happens if a user’s start date is in the future?

They will appear in the Onboarding tab until the start date passes.


5. Is there a limit on how many users I can export?

There’s no hard limit, but large exports may take more time to process.


6. Can I restore a user once they have been deleted?

No, once a user is deleted, their data cannot be recovered, and they cannot be brought back into the system.


7. Is there a limit on how many users I can export?

Yes, before deleting a user, you can download their data from the My People section using the Download button to keep a record of their profile.


8. What permissions does an Admin user have?

Admins have full access to all user management features, system settings, and data. The exact permissions may depend on the organization's settings and policies.


9. Are custom columns visible to all users?

Custom columns are visible according to the settings and permissions of the user accessing the My People section. Admins with the appropriate permissions can customise the grid for everyone.
