My Time Off: Request, Edit, Cancel and View Balances (Employee)
Last Updated: 6 November 2026
What you can see and do here depends on the permission group (role) your admin has given you. See Set Up Roles and Permission Groups.
What It Is and Who It Is For
My Time Off is where you book leave, follow your requests and check how much leave you have left. Requests go to your approver, usually your manager, and you're emailed when they're approved or declined.
This article is for every employee.
Prerequisites
- A working schedule on your contract. Without one you can't request time off. Ask HR if you see No working schedule assigned.
- At least one time off policy assigned to you.
Permissions by Role
| Role | What They Can Do |
|---|---|
| User (employee) | Request, edit and cancel their own leave and see their balances, with View My Time off and Edit My Time off |
| Manager | The same for their own leave. For their team, see Team Time Off |
| Admin and Super Admin | The same for their own leave |
Open My Time Off
Go to Time > My Time Off. You can also open the Time Off tab on your profile, or use My Time Off on your dashboard.
The list shows your requests with Policy, From Date, To Date, Duration, Units, Request Date and Status.
Employee: Request Time Off
- Click Submit Request.
- Choose the Policy, for example Annual Leave, and a Reason if asked.
- Choose the From and To dates.
- Choose the Duration for the day: All Day, Morning or Afternoon (half a day). For half days, choose the start time.
- Plumm shows how much you're requesting, for example You are requesting 2 days, counted against your working pattern. Days you don't normally work aren't counted.
- Add a Description for your approver, and upload a supporting document if needed (for example a fit note).
- Click Submit.
If you ask for more than you have, Plumm shows that the requested leave exceeds your available balance.
Employee: Edit, View or Cancel a Request
Click the three dots on a request:
- View: see the details, including the policy, reason and status.
- Edit: change the policy, reason, dates or duration and save. Plumm shows Request updated. Your approver is told.
- Cancel: cancel a Pending or Approved request. Whether you can cancel approved leave depends on your policy.
Employee: Check Your Balances
Open the Leave Balances tab. For each policy you'll see:
| Figure | Meaning |
|---|---|
| Total Allowance (Days) | Leave for this cycle |
| Days Accrued | Leave built up so far, if your leave builds up over the year |
| Carry Over (Days) | Leave brought in from last cycle |
| Days Taken | Leave used this cycle |
| Current Balance (Days) | What you have left |
Policies counted in hours show the same figures in hours. Any changes HR has made appear as adjustments.
Open the allowance breakdown to see how your allowance was worked out. Balances are read-only. Ask HR if one looks wrong.
Share a Leave Calendar
- Go to Time > Team Time Off and open the Leave Calendar tab.
- Click the three dots at the top right and select Share calendar.
- Enter a Name and tick the Events to include: Leaves, Birthday, Anniversary, Company Holidays and Plumm Events.
- Choose who the calendar covers.
- Click Generate Link and add the link to your calendar app.
Saved links are listed under Saved Calendar Links. Use the three dots next to a link to Edit its settings, Copy it again or Delete it.
Limitations
- You need a working schedule to request leave.
- Statuses are Pending, Approved, Declined and Cancelled.
- Opening a request doesn't give it its own web address, so you can't share a link to one request.
FAQs and Troubleshooting
Why Can't I See My Time Off? Your role doesn't include it, or your account isn't active. Ask HR.
Why Does My Request Show Fewer Days Than I Picked? Plumm only counts the days you normally work, and leaves out bank holidays if your policy excludes them.
Can I Book Leave in the Past? Yes, if your policy allows it. It still goes to your approver.
Who Approves My Leave? Your manager by default, or the approval flow set on your policy.
Can I Cancel Leave That's Already Been Approved? If your policy allows self-cancellation. Otherwise ask your manager or HR.
