Payroll Imports

 Summary

Payroll imports in Admin > Settings allow you to import payslip history, pay rates, bonuses, and compensation records in bulk. Each import uses its own file requirements and worksheet name.

This article explains how to open each Payroll import, prepare the required file, validate your data, and complete the import.

Before you begin

You must have an active Payroll add-on to access and use these Payroll import features.

You need Admin Import permission to access the Import tab.

Go to Admin > Settings > Import to access the Import wizard.

Before importing:

  • You can import a maximum of 1,000 records at a time.
  • For larger imports, consider dividing the records into several smaller files.
  • People must already exist in Plumm.
  • Records are matched using Work Email.
  • Each import has its own file and worksheet requirements.

These imports are different from Pay Cycle Import on a draft pay run and Import Tax & Bank Details.


Opening Settings Import

Log in to Plumm and open the 9-dot menu.

Go to Admin > Settings and select the Import tab.

On Import Staff, open the three-dot menu (⋮) and select Import.

On Select, the field is labelled Import Profile Section and displays the supporting text Select the section to import data.

Open the dropdown and select:

  • Import Payslip Data
  • Import Payrates
  • Import Bonus
  • Import Compensation

If you continue without making a selection, Plumm displays Required field.

The wizard follows:

Select → Details → Validate → Import

Available navigation buttons include Next, Back, and Submit at the relevant stages.


Uploading, validating, and importing

On Details, Plumm displays the note:

Maximum of 1,000 records per import. For optimal outcomes, consider dividing extensive imports into several smaller files.

Download the relevant template when one is available, complete it, then select Upload.

If you continue without selecting a file, Plumm displays Required field.

Plumm can display the following file validation messages:

  • The Excel file has more than 1k rows. Please reduce the number of rows and try again.
  • The Excel file contains only header row without any data. Please add data and try again.
  • The file contains only example data. Please add details and try again.
  • Files with different sheet names are not allowed.

Select Next to validate the uploaded records.

If all rows are valid, Plumm displays It seems everything looks good and ready to go.

If some rows fail validation, Plumm displays It seems there are some errors.

The error information explains that only working imports will be used. If you skip a row containing an issue, that row will not be imported, while the remaining valid rows can still be imported.

You can:

  • Download the error details.
  • Select Skip on an individual row.
  • Use the Skip header checkbox to skip all affected rows.
  • Select Back to return to Details.
  • Select Submit to import the valid rows.

Importing Payslip Data

Use Import Payslip Data to import historic or external payslip figures into Plumm.

The wizard heading is Import Payslip Data.

The Details page displays:

Important: Please ensure that worksheet name is 'Payslips' before importing the file.

A template download is not provided for this import. Prepare your Excel file with the worksheet name Payslips.

Plumm reads the first worksheet in the file.

Each row must contain Work Email or Employee ID.

Payslip validation messages

Validation messages can include:

  • Row is missing both Work Email and Employee ID.
  • User doesnt exist.
  • Month No is required.
  • Date Range is required.
  • Payment Date is required.
  • Payment should be a valid date in the format {the date format you selected}.
  • Tax Code is required.
  • Tax Basis is required.
  • NI Category is required.
  • NI Number is required.
  • Monthly/Weekly Pay is required.
  • Gross Income This Period is required.
  • NI Contribution This Period is required.
  • PAYE Tax This Period is required.
  • Total Deductions This Period is required.
  • Net Pay This Period is required.
  • Take Home Pay is required.
  • YTD Gross Income is required.
  • YTD Income is required.
  • YTD NI Contribution is required.
  • YTD PAYE Tax is required.
  • YTD Total Deductions is required.
  • YTD Net Pay is required.
  • YTD Take Home Pay is required.
  • Employer NI This Period is required.
  • Employer Pension Contribution is required.

After a successful import, Plumm displays Successfully imported {number} payslip or Successfully imported {number} payslips.

Imported payslips appear under My Money > My Payroll when a payslip file has been created.


Importing Payrates

Use Import Payrates to import hourly or other pay rates for people.

The wizard heading is Import Payrates.

Download and complete Plumm_Pay_Rates.xlsx.

The worksheet name must be Pay_Rates.

Payrates fields

The template contains:

  • Work Email
  • Description
  • Pay Type
  • Start Date
  • End Date
  • Project
  • Pay Rates
  • Overtime Pay Rates
  • Currency
  • Comments

Payrates validation messages

Validation messages can include:

  • Email is required field.
  • Invalid email format.
  • Pay Type is required.
  • Start Date is required.
  • End Date is required.
  • Project is required.
  • Pay Rate must be greater than 0.
  • Currency is required.

If the file contains no data, Plumm displays No data found for import.

After a successful import, Plumm displays You've added {number} record or You've added {number} records.


Importing Bonus

Use Import Bonus to import bonus records.

The dropdown option and wizard heading are Import Bonus.

Download and complete Plumm_Bonuses.xlsx.

The worksheet name must be Bonuses.

Bonus fields

The template contains:

The supported Status values in the file are:

  • Pending
  • Paid

The supported Connect To Payroll values are:

  • Yes
  • No

Bonus validation messages

Validation messages can include:

  • Invalid or missing employee email in row: {row number}.
  • Date in row: {row number} is required field.
  • Date in row: {row number} is not in valid format.
  • Bonus currency in row: {row number} is required field.

If there is nothing to import, Plumm displays No data to import.

After you select Submit, Plumm displays You've added {number} record(s) out of {total}.

If records already exist or contain missing emails, Plumm also displays {number} record(s) already exists or having missing email.


Importing Compensation

Use Import Compensation to import compensation changes, such as basic salary.

The dropdown option is Import Compensation.

The wizard heading is Import Compensations.

Download and complete Plumm_Compensations.xlsx.

The worksheet name must be Compensations.

If there is nothing to import, Plumm displays No data to import.

Frequently Asked Questions (FAQ)

  • Why are these options missing from Import Profile Section?
    You must have an active Payroll add-on to access these Payroll import options. You also need Admin Import permission to access the Import tab.
  • Is Import Tax & Bank Details in this list?
    Yes. Import Tax & Bank Details is available as a separate import option. Unlike the Payroll imports covered in this article, that option is not limited to the Payroll add-on.
  • Can I open these from a dedicated Import Payslip row on the Import tab?
    No. There is no separate list row for Import Payslip Data, Import Payrates, Import Bonus, or Import Compensation. Open Import Staff, select Import, then choose the required option under Import Profile Section.
  • What happens if some rows fail validation?
    Plumm displays It seems there are some errors. You can skip the affected rows and continue importing the valid rows. Skipped rows are not imported.
  • Does Pay Cycle Import use these templates?
    No. Pay Cycle Import uses PayrollIncomeOrDeductionTemplate.xlsx from the draft pay cycle three-dot menu.
