Pension auto-enrolment

 Summary

Pension auto-enrolment in Company Money uses statuses such as Enrolled, Re-Enrolled, Not Enrolled, Deferred, and Opt-out. From the pension Members tab, you can enrol, defer, opt out, or unenrol employees based on their status and your permissions.

When enrolling an employee, you must select a Worker Group. Enrolled employees then have employee pension contributions shown under Deductions and employer pension contributions included in Employer Cost during the pay cycle.

Before you begin

You must have an active Payroll add-on to access and use Payroll features.

You need Company Money access to open the pension benefit for a location.

The actions available depend on your permissions:

  • View Company Pension – view pension member details.
  • Enrol Company Pension – enrol employees.
  • Defer Company Pension – defer enrolment.
  • Opt-out Company Pension – opt employees out.
  • Unenrol Company Pension – unenrol employees.

The Contributions tab requires Company Pension Contributions permission. Additional submit, download, and activity log permissions are required for the relevant contribution actions.

The employee must belong to the payroll location.

Inactive employees cannot be enrolled. Plumm displays the tooltip User is inactive, enrollment is disabled.

This article explains the pension auto-enrolment actions available in Plumm. It is not guidance from The Pensions Regulator.


Opening the pension Members tab

Log in to Plumm and open the 9-dot menu.

Under Money, select Company Money.

Open an Active location and select the pension benefit for that location.

The page contains:

  • Members – used to manage pension enrolment.
  • Contributions – displayed when you have the required permission.

The Members grid displays:

  • Name
  • Scheme
  • State
  • Eligibility
  • Last Action
  • Worker Group
  • Status

Use Search to find an employee.

You can also export the Members grid.

If there are no records, Plumm displays Nothing to show here yet.


Read status, eligibility, and Worker Group

Status

The Status column shows the employee's current pension membership status.

  • Enrolled – green tag. The employee is in the pension scheme.
  • Re-Enrolled – green tag. The employee has been enrolled again.
  • Not Enrolled – red tag. The employee is not in the pension scheme.
  • Processing – yellow tag. Enrolment is in progress.
  • Deferred – yellow tag. Enrolment has been postponed until the saved Enrollment Date.
  • Opt-out – red tag. The employee has opted out.
  • Processing Error – red tag. Enrolment did not complete.

Eligibility

The Eligibility column can display:

  • Eligible
  • Not Eligible
  • Not Assessed

Worker Group

Worker Group determines the contribution rates used when you enrol an employee.

The selected Worker Group provides the employee and employer contribution percentages.

State

State is separate from Status.

When you use Opt Out, you select a State that describes the employee's auto-enrolment position, such as:

Opt Out - The employee has chosen to opt-out of the Auto Enrolment process within the allowed opt-out period.


Enrol, Deferral, or Opt Out

Open the more menu on the required employee row.

The actions available depend on the employee's Status and your permissions.

Enrol

Enrol is available for employees with the following statuses when you have Enrol Company Pension permission:

  • Not Enrolled
  • Processing Error
  • Deferred
  • Opt-out

Select Enrol to open the enrolment sidebar.

The sidebar heading is Enrol to Pension - [benefit name].

The Assessment section displays the auto-enrolment age and earnings information:

By law, any employee who is 22 years old or over (but under State Pension age) and earns more than £10,000 a year (for the current tax year) must be put into a pension scheme.

Complete the enrolment information:

  • Pension Provider – displayed on the form.
  • Worker Group – required.
  • Enrollment Date – required.
  • Employer Contribution (%) – populated from the Worker Group and disabled.
  • Employee Contribution (%) – populated from the Worker Group and disabled.

If Worker Group is not selected, Plumm displays Required field.

Select Enroll to submit the enrolment.

If the employee is inactive, the row action is replaced by the disabled Enroll option. The tooltip displays User is inactive, enrollment is disabled.

Deferral

Deferral is available for Not Enrolled or Processing Error employees when you have Defer Company Pension permission.

Select Deferral to open the sidebar.

The sidebar heading is Deferral from Pension - [benefit name].

The information explains that enrolment can be postponed for up to three months and that the employee will be automatically enrolled on the selected deferred date.

Complete Enrollment Date.

This field is required. If no date is selected, Plumm displays Required field.

Select Save to complete the deferral.

Opt Out

Opt Out is available for employees with the following statuses when you have Opt-out Company Pension permission:

  • Enrolled
  • Re-Enrolled
  • Processing

For Nest and Peoples, Opt Out is disabled.

The tooltip displays:

Provider does not allow opt-out via this platform

For other supported providers, select Opt Out to open the sidebar.

The sidebar heading is Leaving Pension.

Plumm displays:

By performing this action on behalf of the employee you confirm that they have expressed will to leave this pension scheme.

Select the required State, then select Opt Out.

Unenrol

Unenrol is available for Enrolled, Re-Enrolled, or Processing employees when you have Unenrol Company Pension permission.

View

View is available when you have View Company Pension permission.

This includes eligible enrolled employees and employees with Not Enrolled or Processing Error statuses where the action is available.

My Pension

Employees can view their pension from My Money by opening the pension benefit.

My Pension displays:

  • Pension Scheme
  • Employee contribution
  • Employer contribution

Employees cannot opt out from My Pension. Pension enrolment is managed by administrators from Company Money.


See pension in the pay cycle

Open the required pay cycle and go to Salaries.

Deductions

The Employee Pension field displays the employee's pension contribution.

If the contribution is 0, the tooltip displays:

the person is not enrolled in any pension scheme for this pay run.

Employer Cost

Employer pension contributions are included in the employer cost figures.

Review

On Review, Pay to Pension is divided into:

  • Employee Pension
  • Employer Pension

Recalculating pension changes

If pension information changes after the pay cycle has been opened, Updates can display:

  • Pension
  • Pension Enrollment

Select Recalculate to update the pay cycle with the latest pension information.

Salary Sacrifice and Statutory Pay

Statutory pay validation can fail when the Worker Group pension rule is Salary Sacrifice.

Plumm displays:

Statutory Pay is not allowed for Salary Sacrifice Employees.


Frequently Asked Questions (FAQ)

  • What is Worker Group?
    Worker Group is the group on the pension scheme that determines Employee Contribution (%) and Employer Contribution (%). You must select a Worker Group when enrolling an employee.
  • Why is Opt Out disabled?
    The pension scheme is Nest or Peoples. Plumm displays Provider does not allow opt-out via this platform.
  • Can I enrol someone who has Opt-out status?
    Yes. If you have Enrol Company Pension permission, the Enrol action is available for an employee with Opt-out status.
  • Does Deferred stop contributions?
    Deferred means enrolment has been postponed until the Enrollment Date saved during Deferral. The employee is not Enrolled until then.
  • What if I cannot see Contributions?
    You need Company Pension Contributions permission to access the Contributions tab.
  • Why is Enrol spelled two ways?
    These are the labels used in Plumm. The row action is Enrol, while the submit button is Enroll. The inactive employee tooltip also uses enrollment. Use the label displayed on the control you are selecting.
