Summary

 The Project Summary tab in the Team Timesheet feature allows admins to view an overview of their team’s project-related hours, including billable and non-billable hours logged by each employee. It also provides detailed insights into individual projects, helping admins track their team’s productivity and work allocation.

Before you begin

To use the Project Summary tab, ensure that you have the admin permissions required to view team project data. If you do not see this tab, contact your system administrator to confirm your access level.

Step 1. Access the Project Summary tab

Admins can access the Project Summary tab within the Team Timesheet feature. This tab provides a high-level view of the work completed by each employee within the selected time range.

Step 2. Select a date range

At the top of the Project Summary page, you’ll see a Select Date filter dropdown. This allows you to choose the time range for which you want to view the data.
Available options include:
  • Last Month
  • Last 3 Months
  • Last 6 Months
  • Last 9 Months
  • Last 12 Months
  • Custom Range (Allows you to specify your own start and end dates)
The data will automatically update to reflect the selected time period.

Step 3.Search and download data

Search Functionality
Next to the date filter, you’ll find a search bar. You can use this to search for specific employees or projects within the displayed data.

Download Option
Beside the search bar, there is a download button that enables you to download the data into an Excel sheet. This allows you to further analyze or share the timesheet information offline.
 

 

Step 4.Understand the project summary grid

Below the search and filter options, a grid displays the following fields:
  • Employee: The name of the employee whose project data is being displayed.
  • Project Count: The total number of projects assigned to the employee during the selected period.
  • Billable Hours: The total billable hours logged for the projects assigned to the employee.
  • Non-Billable Hours: The total non-billable hours logged for the projects assigned to the employee.
  • Total Hours: The sum of both billable and non-billable hours logged for the employee’s projects.
This grid gives admin a snapshot of how much time employees are spending on different projects and how much of that time is billable versus non-billable.
 

Step 5. View project-level details

When you click on a row in the grid, it will expand to show additional details for each project the employee is working on during the selected period. The expanded view includes:
  • Project Name: The name of the assigned project.
  • Billable Hours: The total billable hours logged for that project.
  • Non-Billable Hours: The total non-billable hours logged for that project.
  • Total Hours: The sum of both billable and non-billable hours logged for the project.
This expanded view provides a detailed breakdown of the employee’s work on specific projects, giving you more granular insights into project allocation and performance.

Frequently Asked Questions (FAQ)

1.Can I view the project data for any employee?

Yes, As an Admin, you can view the project summary for all employees, whether they report to admin or not. You can select any employee from the "Select User" dropdown list to view their data
 

2 .What does the "Billable Hours" field represent?

The Billable Hours field shows the number of hours worked on a project that can be invoiced to a client. These hours are tracked separately from non-billable hours to help with client billing and project budgeting.


3. Can I download the entire project summary data?

Yes, the download button next to the search bar allows you to export the project summary data, including employee hours and project breakdowns, into an Excel file.
 

 

4.What is the "Project Count" field?

The Project Count field indicates how many different projects are assigned to each employee within the selected time period.

5.How do I see more detailed information about each project?

 To see more detailed information, simply click on the row for a specific employee. The grid will expand, showing the individual projects the employee has worked on, along with the breakdown of hours for each project.


Note: A manager can only see data for the users who report directly to them, whereas an Admin can view data for every user in the company.
