Review Team Rota Requests
Summary
Managers can review, approve, or decline team rota change requests submitted by their team members. This ensures visibility and control over shift changes within departments.

Before you begin
To use this feature, you must:
- Have manager-level access or rota approval permissions
- Be part of a department with active team rota tracking enabled
- Be logged into your Plumm account
Step 1. View team requests
- Go to Time > Rota from the left-hand menu
- Click on the Team Request tab
- Use the search bar or filters to find specific requests
- Review the request details including:
- Requester name
- Department and location
- Shift name
- From and To dates
- Notes (optional)
- Status (e.g. Pending, Approved)
Step 2. Approve or decline a request
- Locate a request with a Pending status
- Click the three-dot icon (⋮) on the right side of the row
- Select Approve or Decline
- A confirmation popup will appear—click Confirm to finalise your action
Note: Once approved or declined, this action cannot be undone.
Frequently Asked Questions (FAQ)
1. Who can approve or decline rota requests?
Only users with manager-level permissions or rota approval access can take action on team requests.
2 . Can I undo an approval or decline?
No. Once a decision is confirmed, it cannot be reversed from the interface. Contact HR if changes are needed.
3. Will the employee be notified?
Yes. The employee will be notified in Plumm and/or by email depending on your organisation’s notification settings.
4. What happens after I approve a request?
The shift change is recorded in the rota and visible under the Team Rota and My Rota tabs.
5. Can I bulk-approve requests?
Not currently. Each request must be reviewed and actioned individually.
