Send a Contract Letter

Summary

Send digital or manual contract letters to candidates directly from the hiring pipeline. You can upload a contract file or use a pre-made eSign template, then send it for review and signature.

Before you begin

To send contracts, you must:
  • Have access to the Hire module
  • Be assigned a role with permission to manage candidates
  • Have an active eSign contract template (for eSign)

Step 1Move the candidate to the Contract stage

  1. Go to Hire > [Job Role]
  2. Find the candidate in Offer or Interview stage
  3. Drag and drop the candidate card to the Contracts stage
    • Alternatively, click the three-dot menu on the candidate card and select Send Contract

Step 2. Send a contract letter (eSign or Manual)

  1. Choose eSign or Manual
    • For eSign: Select a pre-created contract template
      • If not available, click the link to create or edit one
    • For Manual: Upload the final contract PDF file
  2. Click Next to proceed

Step 3. Add details and communication preferences

  1. Enter reply-to and optional BCC email addresses
  2. Write or generate the subject and email message
  3. Set up optional reminders for unsigned documents
  4. Add signer information including Role, Name, and Email (eSign only)

Step 4. Confirm and send

  1. Review the full contract preview
  2. Click Send
    • Manual: Sends the uploaded file to the candidate
    • eSign: Triggers the signature flow
      • Candidate signs first
      • If multiple signers, each is notified in turn
      • All signers receive the completed signed contract

 

Frequently Asked Questions (FAQ)

1. Is there a difference between sending an offer and a contract?

The process is the same. Only the document type and naming differ.

2 . Do I need a separate template for contracts?

Yes. eSign templates are role-specific, so you’ll need a contract version if using eSign.


 

3. Can I use both Offer and Contract stages?

Yes. You can use both, depending on your hiring flow. Contracts usually follow offers.


4. What if the candidate doesn’t sign the contract?

You can set reminders, or re-send the contract manually if needed.


5. Who gets the signed copy?

Once signed by all parties, everyone listed in the flow receives a final signed copy.
