Summary

 The Team Timesheet feature enables managers to view, track, and manage the timesheet data of the users who report to them. It allows managers to assess team members' billable hours, non-billable hours, and time-off hours, with detailed task-level insights.

Before you begin

The Team Timesheet feature is permission-based, so ensure that you have the required manager permissions to view and manage your team’s timesheets. Contact your system administrator if you’re unsure about your permissions.

Step 1. Access the Team Timesheet tab

Managers can access the Team Timesheet feature through the Team Timesheet tab. This tab is available in the manager’s dashboard, where they can view and manage timesheet data for all team members who report to them.

Step 2. Select a user

Within the Team Timesheet tab, you will find a Select User dropdown list. This list contains all users who report to you as their manager.
  1. Click on the Select User dropdown.
  2. From the dropdown list, select the user whose timesheet data you wish to view.
Once a user is selected, their timesheet data for the selected period will be displayed.

Step 3. View user timesheet data

After selecting a user, the timesheet data for that user is displayed for the chosen date range. At the top, the following four summary fields are displayed:
  • Billable: The number of billable hours the selected user has logged during the chosen timesheet period.
  • Non-Billable: The number of non-billable hours the selected user has logged during the chosen period.
  • Total: The total number of hours the user has worked, combining both billable and non-billable hours.
  • Time Off Hours: The total leave hours (time off) the user has taken during the selected period.
On the left-hand side, there is a Status field, which shows the current status of the user’s timesheet for the selected period. The possible statuses are:
  • Submitted
  • Resubmitted
  • Approved
  • Declined
  • Not Submitted
This information gives you a clear overview of the selected user's timesheet status and the breakdown of their hours for the period.
 

 

Step 4. View task-level details

Below the summary fields, you will find a grid displaying the projects assigned to the selected user. The grid shows the following data for each project:
  • The project name
  • The number of hours logged for that project
  • Whether the logged hours are billable or non-billable
In the grid, you can click on the View option for any row to access more detailed information. Clicking the View option opens a side pop-up called View Task, which shows:
  • Time Period: The specific start and end dates for the selected task.
  • Project: The project name associated with the task.
  • Task: The name or description of the task worked on.
  • Billable: Whether the task is marked as billable or non-billable.
  • Hours Spent: The total number of hours spent on that task during the period.
This detailed view helps managers track the specific tasks worked on by their team members, understand the breakdown of logged hours, and ensure the proper classification of billable versus non-billable time.

1. How do I access the Team Timesheet tab?

The Team Timesheet tab is available to managers in their dashboard. If you do not see the tab, contact your system administrator to confirm your permissions.
 

2 . Can I view timesheet data for any user?

As a manager, you can only view the timesheet data for users who report to you. You can select a user from the Select User dropdown list to see their timesheet data.

3. What does the status "Resubmitted" mean?

 "Resubmitted" indicates that the user previously submitted their timesheet, but it was returned for changes. After making corrections, the user resubmitted it for approval.
 

 

4. Can I edit a user’s timesheet data?

 No, as a manager, you can only view the timesheet data. You cannot edit the data, but you can track the status of the timesheet and address any issues with the user if necessary.

5. What does the "View" option in the grid do?

The View option in the grid opens a side pop-up showing detailed information about the selected task, including the time period, project, task, billable status, and hours spent.
