Before you begin
The Team Timesheet feature requires admin permissions. Make sure your admin account has the necessary permissions to access and view timesheet data for all users. If you’re unable to access this feature, contact your system administrator to confirm your permissions.Step 1. Access the Team Timesheet tab
As an admin, you can access the Team Timesheet feature through the Team Timesheet tab in your admin dashboard. This tab allows you to view timesheet data for all users within the system, not just those who report directly to you.Step 2. Select a user
Within the Team Timesheet tab, you’ll find a Select User dropdown. This dropdown displays a list of all users in the system, including users who do not directly report to you.
- Click on the Select User dropdown.
- Choose the user whose timesheet data you wish to view.
Once a user is selected, the timesheet data for that user will be displayed for the selected date range.
Step 3. View user timesheet data
After selecting a user, their timesheet data for the chosen period will be shown. At the top, four key summary fields will be displayed:
- Billable: Shows the total billable hours logged by the selected user for the timesheet period.
- Non-Billable: Displays the total non-billable hours logged by the selected user during the period.
- Total: The total number of hours (both billable and non-billable) logged by the user for the selected period.
- Time Off Hours: Displays the total leave hours taken by the user within the selected timesheet period.
On the left-hand side, you will see a Status field that indicates the current status of the user’s timesheet for that period:
- Submitted
- Resubmitted
- Approved
- Declined
- Not Submitted
Step 4. View task-level details
At the bottom of the page, a timesheet grid will display the projects assigned to the selected user. The grid will include the following information for each project:
- Project Name
- Hours Logged (billable or non-billable)
- Billable/Non-Billable Status
For each task, you can click the View option in the grid to open a side popup called View Task. This popup shows detailed information about the selected task:
- Time Period: The specific start and end dates for the task in the timesheet period.
- Project: The project associated with the task.
- Task: The name or description of the task.
- Billable/Non-Billable Status: Indicates whether the task is billable or non-billable.
- Hours Spent: The total hours logged for the task during the period.
This feature provides admins with a granular breakdown of the tasks worked on by users, allowing for better tracking and management of team activities.
