 The Timesheet Summary Tab in Team Timesheet provides managers with an overview of the timesheet data for employees in their team. This includes billable and non-billable hours, submission status, and detailed breakdowns of timesheet and project data. Managers can filter, search, and export this information to monitor team productivity effectively.

Before you begin

To use the Timesheet Summary Tab, ensure that you have manager permissions to view team members’ timesheet data. If you do not have access to this feature, please contact your system administrator to confirm your access.

Step 1. Access the Timesheet Summary tab

As a manager, you can access the Timesheet Summary Tab within the Team Timesheet section. This tab helps you track and review timesheet submissions for employees, including billable and non-billable hours logged across projects.

Step 2. Select a date range

At the top of the Timesheet Summary Tab, you will see a Select Date filter dropdown. This filter allows you to choose the date range for the timesheet data you want to review. The available options are:
  • Last Month
  • Last 3 Months
  • Last 6 Months
  • Last 9 Months
  • Last 12 Months
  • Custom Range (Choose your own start and end date)
Once a date range is selected, the system will display the corresponding timesheet data for your employees.
 

Step 3.  Search and download data

Search Functionality
Next to the Select Date filter, you will find a Search Bar. This allows you to search within the displayed data to find specific employees, projects, or other relevant timesheet information.

Download Option
Beside the search bar, there is a Download button. This allows you to export the displayed timesheet data into an Excel sheet, which is useful for offline analysis and reporting.
 

 

Step 4.  Understand the timesheet summary grid

Below the filter, search, and download options, a grid/table is displayed with the following five columns:
  • Employee: The name of the employee whose timesheet data is displayed.
  • Timesheet Count: The total number of timesheets submitted by the employee in the selected date range.
  • Billable Hours: The total billable hours logged by the employee on their projects.
  • Non-Billable Hours: The total non-billable hours logged by the employee.
  • Total Hours: The sum of billable and non-billable hours logged by the employee across all projects.
Each row in this grid represents an employee’s overall timesheet data for the selected period. When you click on a row, it expands to show more detailed information.
 


Step 5.  View timesheet and project breakdown details

Expanded Row Information
When you click on a row, it expands to show additional timesheet details for that employee. The expanded row includes:
  • Timesheet Period: The specific weekly or monthly timesheet period assigned to the employee, including the date range.
  • Billable Hours: Total billable hours logged during that period.
  • Non-Billable Hours: Total non-billable hours logged during that period.
  • Total Hours: Total hours (both billable and non-billable) logged for the period.
  • Status: The current status of the timesheet for the period (e.g., Pending, Resubmitted, Approved, Declined).
View Option
At the end of each expanded row, there is a View option. Clicking this will open a pop-up from the right side of the screen, displaying two key sections:
  1. View Timesheet Summary
    • Timesheet Period: Displays the specific weekly or monthly timesheet period with the date range.
    • Billable Hours: Total billable hours logged for that period.
    • Non-Billable Hours: Total non-billable hours logged for that period.
    • Total Hours: Total hours worked (both billable and non-billable).
    • Status: Timesheet status (Pending, Resubmitted, Approved, or Declined).
  2. Project-Wise Breakdown
  3. This section shows a detailed breakdown of the employee's time for each project:
    • Project Name: The name of the project the employee worked on.
    • Billable Hours: Total billable hours logged for that project.
    • Non-Billable Hours: Total non-billable hours logged for that project.
    • Total Hours: Total hours (both billable and non-billable) worked on that project.
    • Status: The status of the timesheet for that project (Pending, Resubmitted, Approved, or Declined).
This breakdown helps managers evaluate project-level time allocation and monitor whether tasks and projects are progressing as expected.

Frequently Asked Questions (FAQ)

1.Can I view timesheet data for all employees in my team?

Yes, as a manager, you can view timesheet data for all employees who report to you. You can select a specific employee from the dropdown list to see their timesheet information.
 

2 .What is the "Timesheet Count" field?

The Timesheet Count shows the total number of timesheets submitted by the employee in the selected time period. This includes timesheets for both billable and non-billable hours.


3. How do I see a detailed breakdown of billable and non-billable hours?

Click on a row in the grid to expand it. Then, click the View option to see a detailed summary of billable and non-billable hours for each timesheet period, along with project-wise breakdowns.
 

 

4.Can I export the data to Excel?

Yes, you can export the data by clicking the Download button next to the search bar. This will export the displayed timesheet data as an Excel file for further analysis or reporting.

5.What do the timesheet status labels (Pending, Resubmitted, Approved, Declined) mean?

  • Pending: The timesheet has been submitted but is awaiting approval.
  • Resubmitted: The timesheet was returned for corrections and has been resubmitted.
  • Approved: The timesheet has been reviewed and approved by the manager.
  • Declined: The timesheet was rejected, and corrections are required.
  • Not Submitted: The employee has not submitted their timesheet yet.
