Year-End

 Summary

Year-End is the wizard used to close a tax year for a pay schedule. The wizard covers Validation, Final FPS, Year-End Reports, Lock Tax Year, and Initialise {NewTaxYear}. After the last pay period is Completed, use the Year-End tile to download year-end files, lock the tax year, and initialise the next tax year.

Before you begin

You must have an active Payroll add-on to access and use Payroll features.

You need Company Money access and View Pay Schedules to reach the schedule page.

The last pay period on the schedule must be Completed before the Year-End tile can be opened.

If FPS or EPS is still Generating, or the FPS status is DELETED or empty, Plumm shows Please wait while EPS/FPS is generated. and does not open Year-End.

HMRC details should already be complete for the payroll. Final FPS is a declaration of the last FPS for the tax year, not a separate submit button on this page.

Have GL export, pension export, and statutory recovery figures ready before you lock the year.

Locking the tax year cannot be reversed in this wizard.


Opening Year-End

From Company Money, open an Active location, then Pay Schedules, then the Active schedule.

On the period tiles, find the Year-End tile. It shows the financial year, for example 2025/2026.

Tile statuses

  • Action Required — The new tax year has not been initialised. The tile is yellow.
  • Completed — The new tax year has been initialised. The tile is green.

If the last period is not Completed, the Year-End tile is disabled.

If the last period is Completed and FPS is ready, select the Year-End tile.

The heading is Year-End {FinYear}.

The timeline is:

Validation → Final FPS → Year-End Reports → Lock Tax Year → Initialise {NewTaxYear}

The top buttons are Back and Continue. Back is not shown on Validation.


Validation

The heading is Year-End Readiness Check.

The text is Review the year-end specific validations below.

The status counts are:

  • 3 passed and 1 warning — If GL has not been exported.
  • 4 passed — If GL has been exported.

Open each check to review its details.

Statutory pay recovery totals complete

Description: SMP, SPP, SAP, ShPP, SPBP and SNCP recovery amounts are finalised.

The modal heading is Statutory pay recovery totals complete.

The status box shows All statutory pay recovery totals are complete. No actions needed.

Student loan YTD balanced

Description: All student loan and postgraduate loan deductions reconcile.

The modal heading is Student loan and postgraduate loan deductions reconciled.

The status box shows Student loan YTD is balanced. No actions needed.

Pension YTD exported

Description: Pension contributions have been exported to the pension provider.

The modal heading is Pension YTD exported.

The status box shows Pension YTD has been exported. No actions needed.

GL exported

Description: General Ledger postings for the full year have been exported.

If the GL has not been exported, this row is shown as a warning.

The modal heading is GL exported.

Reconciliation shows Calculated, Submitted YTD, and Variance, using the payroll currency symbol.

If the GL has not been exported, the yellow note shows Prepared, but not exported yet. Please download the GL export to complete.

Select Download GL Export.

The downloaded file is GLReport.xlsx.

After the download, the page shows 4 passed and the GL row becomes a success check.

Select Continue to move to Final FPS.


Final FPS

The heading is Final Submission Declaration.

The text is Verification of the Final Full Payment Submission for PAYE Reference {PAYE Reference}.

Submission Details

  • PAYE Reference — The payroll PAYE reference.
  • Accounts Office Reference — The Accounts Office reference.
  • Tax Year — Shown as {TaxYear} (6 April {YearEnd − 1} – 5 April {YearEnd}).
  • Final Submission Indicator — Yes - Completed in {CycleName}.
  • Applicable Pay Run — {CycleName} ({PayCycle}). PayCycle is Week {n}, Fortnight {n}, or Month {n}.

For weekly payroll, this would be Week 52/53. For fortnightly payroll, this would be Fortnight 26, or Week 54 if applicable.

The green message shows The {CycleName} Final FPS check has been completed. No further action required.

Final FPS Guidance

The last FPS for the tax year must include the Final Submission indicator. This tells HMRC you have finished reporting for {TaxYear}. Submit on or before your last pay date.

The deadline shown is Submit on or before your last pay date in the tax year (typically 5 April {YearEnd}).

There is no Submit FPS button on this step. Use HMRC FPS details if a submission still needs sending.

Year-End Reports

The heading is Year-End Reports.

The text is Download all year-end reports and certificates for {TaxYear}.

Each report has a Download option, except the ZIP package, which uses Export ZIP.

Employer Payment Summary Reconciliation

Provides a full reconciliation of EPS submissions against HMRC records.

Due by 19 April {YearEnd}.

P60 End of Year Certificates

Provides individual employee certificates of pay and deductions for {TaxYear}.

The badge shows {EmployeesCount} employees.

Due by 31 May {YearEnd}.

Director NIC Reconciliation Report

Provides the annual NIC calculation for all directors using Method A/B.

Key Deadlines & Guidance

P60 Deadline

Employers must provide P60 certificates to all employees who were employed on 5 April by 31 May {YearEnd}. Failure to provide P60s on time can result in penalties.

EPS Submission

The final Employer Payment Summary for {TaxYear} must be submitted by 19 April {YearEnd} to claim any reductions, such as statutory pay recovery or Apprenticeship Levy allowance.

Late Corrections

After locking the tax year, corrections must be submitted as an Earlier Year Update (EYU) or through a replacement FPS using the Prior Year Correction process. HMRC accepts corrections up to four years after the tax year end.

Lock Tax Year

The heading is Lock Tax Year {TaxYear}.

The text is Locking the tax year prevents any further edits to payroll data for {TaxYear}.

What happens when you lock the year

  • No edits will be allowed to any {TaxYear} payroll data.
  • Corrections must use the Prior Year Correction flow.
  • FPS resubmissions will be restricted to correction mode.
  • All YTD ledgers will be frozen and archived.
  • RTI payloads for {TaxYear} will be versioned and archived.

Year Lock Status

  • Tax Year — {TaxYear}
  • Status — Open — awaiting lock before you lock. Changes to Locked after you lock.
  • Correction Mode — Not yet active before you lock. Changes to Enabled after you lock.

Select Lock Tax Year {TaxYear}.

The modal heading is Lock Tax Year {TaxYear}.

Plumm shows This will permanently lock all payroll data for the {TaxYear} tax year. This action cannot be reversed.

Once locked:

  • No edits can be made to any {TaxYear} payroll data.
  • All pay runs become read-only.
  • YTD ledgers are frozen and archived.
  • RTI payloads are versioned and archived.
  • Corrections must use the Prior Year Correction flow with a replacement FPS to HMRC.

HMRC accepts prior-year corrections up to four years after the end of the tax year.

Type CONFIRM to proceed. The placeholder is CONFIRM and the value must match exactly. The lock button remains disabled until CONFIRM is entered.

Select Lock Year Permanently.

On success, Plumm shows Tax year locked successfully.

If an error occurs, Plumm shows Error occured, please refresh and try again.

After a successful lock:

  • The lock button is no longer shown.
  • The green message shows Tax year {TaxYear} has been locked. All data is now read-only. Only prior year corrections are permitted.
  • Status changes to Locked.
  • Correction Mode changes to Enabled.
  • Continue becomes enabled.

Until the year is locked, Continue remains disabled on this stage.

Select Continue to move to Initialise {NewTaxYear}.


Initialise the new tax year

The heading is Prepare New Payroll Year {NewTaxYear}.

The text is This will reset all YTD fields and load the {NewTaxYear} statutory thresholds, rates, and calculation engines.

A Source link opens GOV.UK rates and thresholds.

You can expand the following rate groups:

  • Income Tax Bands (England & NI)
  • National Insurance (Category A)
  • Student Loan Thresholds (Annual)
  • Statutory Pay Rates (Weekly)
  • Auto-Enrolment Thresholds
  • National Minimum / Living Wage (from April 2026)

Income Tax Bands include Threshold, Annual, Monthly, and Weekly columns.

The Continue button on this stage is labelled Initialise {NewTaxYear}.

Select Initialise {NewTaxYear}.

The modal heading is Initialise Tax Year {NewTaxYear}.

Initialising the new tax year will:

  • Reset all employee YTD fields to zero.
  • Load {NewTaxYear} tax bands, NI thresholds, and statutory rates.
  • Version the calculation engines for the new year.
  • Create a new tax year ledger.

Employee master data, pension schemes, and pay codes are preserved.

Select Initialise New Tax Year.

If an error occurs, Plumm shows Error occured, please refresh and try again.

On success, the page shows Year-End Complete.

The subtitle is Tax year {TaxYear} is closed and {NewTaxYear} payroll is ready.

Year-End summary

  • Final FPS — Submitted
  • P60s Generated — {EmployeesCount} certificates
  • Tax Year {TaxYear} — Locked
  • Tax Year {NewTaxYear} — Initialised
  • Employee Profiles {NewTaxYear} — Updated

The button changes to Go to {NewTaxYear} Payroll.

Select Go to {NewTaxYear} Payroll to open the new pay schedule.

The Year-End tile then shows Completed.


Frequently Asked Questions (FAQ)

  • Who can open Year-End?
    Users who can open the pay schedule. The Year-End tile is only clickable when the last period is Completed and FPS is not Generating, DELETED, or empty.
  • Can I skip Validation warnings?
    You can Continue from Validation even if GL exported is still a warning. On Lock Tax Year, you must lock the year before Continue becomes enabled.
  • Does Final FPS submit to HMRC from this wizard?
    No. This stage is a declaration that the final FPS check has been completed. Submit FPS from FPS Details if the submission is still Not Submitted.
  • Which reports can I download here?
    You can download Employer Payment Summary Reconciliation, P60 End of Year Certificates, Director NIC Reconciliation Report, Apprenticeship Levy Summary, Statutory Payment Recovery Summary, and Download All as ZIP. You can also download GL Export from the GL exported check.
  • Can I unlock a tax year after Lock Year Permanently?
    Not from this wizard. The confirmation modal states that the action cannot be reversed. Corrections must use the Prior Year Correction process.
  • What happens to pay runs after lock?
    Pay runs become read-only. Pay run deletion from a completed cycle can return Payrun cannot be deleted since tax year is locked.
  • What does Initialise New Tax Year change?
    It resets YTD fields to zero, loads the new year’s rates, and creates the new tax year ledger. Employee master data, pension schemes, and pay codes are preserved. Tax codes are carried forward.
